A hands-on role responsible for day-to-day management of the warehouse, inventory, and storage facility functions for JVT. Warehouse and storage, inventory, equipment and machinery, health and safety, and staff management duties will all be expected in this role

Our client, The BEST Group - a group of Bermudian companies providing services in the fleet, freight, logistics, shipping, trucking, and warehousing industries, is inviting applications from suitably qualified persons to fill the role of Supervisor of Warehouse and Storage Operations for Joe Vieira Trucking (“JVT”).

 

The Supervisor of Warehouse and Storage Operations is a hands-on role that will be responsible for the day-to-day management of the warehouse, inventory, and storage facility functions for JVT.  Warehouse and storage, inventory, equipment and machinery, health and safety, and staff management duties will all be expected in this role.  Primary responsibilities will include, but not be limited to:

 

Warehouse & Storage Duties:

  • Ensuring the warehouse and storage facility is clean, tidy, and organized.
  • Supervising and controlling “goods in and goods out” operations to ensure accuracy with minimum handling and stock damage.
  • Co-ordinating and liaising with the JVT manager/supervisor on: container loading and offloading, goods scheduled for storage,
  • Planning, co-ordinating and monitoring the receipt, storage, and dispatch of goods in the warehouse.  Overseeing the unloading of containers, receiving of goods, and organizing goods for delivery and warehouse storage.
  • Overseeing, prioritizing, and assisting warehouse assistant(s) to organize goods for delivery.
  • Ensuring all goods are wrapped, palletized, and labelled correctly for delivery and/or storage.
  • Maintaining the Storage List and keeping other accurate records to reflect customer goods and locations in JVT warehouse and storage.
  • Ensuring that all warehouse and storage packing supplies are always in orderly fashion (packing supplies are grouped by type, shelved according to designated area etc.) and that aisle layouts give enough space to allow employees and equipment to move quickly and safely between goods.
  • Adhering to warehouse and storage layout methodology and ensuring the most efficient use of available warehouse space.
  • Providing input for warehouse, storage, and export documentation, quoting, booking, and invoicing activities as necessary.
  • Assisting in identifying and improving service-related issues, including on-time delivery, accurate and timely data entry, and efficient warehouse operations.
  • Keeping accurate inventory of stock, construction, storage and packing supplies, reordering when necessary.
  • Submitting JVT storage usage monthly to finance department for billing.
  • Keeping records of time, description of services and other paperwork required for every job, including obtaining customer signatures and collecting payment for goods delivered.
  • Unpacking, assembling, and disassembling goods when required, wrapping and packing goods for the export / relocations team when needed for relocations.
  • Performing routine and basic safety inspections of the vehicles you are assigned to operate and to perform basic maintenance functions including, but not limited to, checking, and maintaining all fluid levels, notifying management of any maintenance or repairs needed, and cleaning the interior and exterior of vehicles when required.

 

Inventory Duties:

  • Overseeing the weekly fuel dipping and monitoring of fuel level, reporting actuals to JVT management.
  • Receiving and recording new stock, construction, storage and packing supplies. Providing necessary documentation to management.
  • Use software/excel sheet to monitor demand and supply
  • Monitor stock and inventory levels notify management when stock level drop below optimal number.
  • Assist JVT manager with reordering to ensure customer demand can be met.
  • Conduct monthly inventory counts to ensure inventory and stock reconcile.
  • Completing inventory sheet monthly and submitting to JVT Manager.
  • Resolving all inventory count discrepancies liaising with management when relevant.
  • Implementing stock loss mitigation strategies including under-reporting or overcounting.
  • Reporting and documenting all broken and damaged packaging and/or goods resulting in loss.
  • Recording and submitting relevant supporting documents for insurance claims.
  • Reporting and documenting all damages upon receiving of goods.

 

Equipment & Machinery Duties:  

  • Conducting and overseeing the inspection and reporting of any equipment and machinery defects pertaining to the JVT warehouse.
  • Ensuring proper handling and operating methods are used to minimize damage to JVT warehouse (i.e., roller doors etc.)
  • Ensuring that warehouse assistant conduct weekly equipment checklists (i.e., forklift) to ensure equipment is maintained and can be used/operated at all times.
  • Completing and submitting work order forms to JVT management for scheduled /emergency equipment and machinery maintenance.

 

Health & Safety Duties:

  • Ensuring the Health and Safety regulations, as determined by Government and the Company are always followed.
  • Ensuring employee compliance with all Safety Legislation and Safety related documents as mandated by the Company.  Displaying a good understanding and being conversant in all related legislation and policies.
  • Attending health and safety meetings and conveying critical information to relevant department/company.
  • Conducting safety inspections and hazard analysis monthly.
  • Immediately addressing and documenting all violations of safety policies and work practices.
  • Following outlined process for any accidents.
  • Maintaining warehouse cleanliness, accessibility, and safety.

 

Staff Management Duties:

  • Overseeing and assigning daily tasks to the warehouse assistant.
  • Ensuring that warehouse assistant conducts weekly fuel dipping and reporting to finance department.
  • Ensuring assigned warehouse assistant(s) possess valid certification and training as per job requirements
  • Ensuring assigned warehouse assistant(s) and customer service agent possesses valid Bermuda seaport pass as per job requirements.
  • Actively participating in all scheduled meetings, being prepared, and performing assigned action items within agreed timelines.
  • Demonstrating an understanding of company policies and procedures including the Employee Handbook, Occupational Health and Safety Act and ensure employee compliance.
  • Ensuring that there is regular communication with employees.
  • Monitoring employee behavior and ensuring employee compliance with all policies and procedures.
  • Addressing and reporting poor behavior, performance, and/or violation of company policies as per the outlined process (with assistance from Head of People).
  • Monitoring timekeeping, addressing and documenting infractions immediately. Ensuring compliance with prescribed working hours, monitoring lateness, break times and absences (with assistance from Head of People).
  • Ensuring employees complete leave requests on the employee self-service platform (BambooHR), approving leave requests in accordance with company policies and operational requirements.
  • Carrying out payroll responsibilities where relevant.
  • Providing input for performance management processes (including probation, mid-year, and annual performance reviews) as required by the Head of People.

 

Key Requirements:

  • Highschool diploma required. A degree or diploma in logistics, supply chain, process engineering or related field is preferred.
  • At least two years directly relevant supervisory experience in a logistics, warehouse management, or process engineering environment with staff management responsibilities.  Advanced knowledge of supply chain and warehouse operations, best practices, efficiencies, and day-to-day operations is required.
  • A Counterbalanced Forklift Certification (or equivalent certification)
  • A valid Bermuda heavy truck driver license and Bermuda Dock Pass (or ability to be approved).
  • Experience with Microsoft Office suite of products.  Experience with logistics and storage software would be preferred.
  • Proven accountability, adaptability and integrity in a fast-paced work environment with strong communication, time management and teamwork skills.
  • Ability to meet the physical demands of the role including sitting, standing, walking, and lifting from 10 to 120 pounds daily.  Must possess close vision, distance vision, colour vision, depth perception and ability to focus.  Ability to work in an outdoor environment as needed.
