The Supervisor, Projects is responsible for the day-to-day coordination, supervisor, and execution of construction, renovation, and facilities-related projects. Operating under the direction of the Manager- Properties & Facilities, the role ensures that projects are delivered efficiently, safely and in compliance with Jamaican regulatory standards. The position plays a critical role in translating project plans into on-the-ground execution, maintaining quality standards, managing contractors, and ensuring timely completion of project milestones. The Supervisor is also a key control point for monitoring site activities, enforcing safety protocols, and ensuring adherence to approved budgets and timelines.
MINIMUM EDUCATION REQUIREMENTS
- Bachelor’s Degree in Business Administration or equivalent from a recognized tertiary institution

- Bachelor’s Degree in Construction Management

- 3 years progressive experience property management services

Job Responsibilities
1. Leadership and Team Management
- Lead, develop, and manage the performance of direct reports, ensuring alignment with VM Group performance management frameworks (PMAS).
- Foster a high-performance culture grounded in accountability, continuous learning, and operational excellence.
- Set, monitor, and evaluate KPIs and development plans for all direct reports.
- Provide ongoing coaching, mentorship, and performance feedback.
- Oversee administrative responsibilities including leave approvals and team resource planning.
- Lead and support investigations relating to incidents, operational breaches, or performance concerns.
2. Project Operations
- Execute and supervise all phases of project delivery (mobilization, planning, procurement, execution, monitoring, and closeout).
- Support the development of standard project documentation for each project phase
- Translate project plans into site execution activities in alignment with approved scope, timelines, and budgets.
- Monitor progress against timelines and milestones; escalate risks and delays with recommended corrective actions.
- Identify project risks related to execution, safety, cost, and timelines and
- Implement mitigation measures in line with project risk plans.
- Coordinate site mobilization including labour, materials, and contractor readiness.
- Coordinate local contractors, artisans, and service providers
- Monitor project costs, timelines, and quality at the execution level
- Validate on-site quantities, materials, and specifications against approved estimates.
- Monitor utilization of labour, materials, and equipment to ensure efficiency.
- Provide real-time feedback on site conditions impacting cost, timelines, or procurement needs.
- Lead site-level closeout activities, including snagging, inspections, and handover readiness
- Monitor site-level costs including labour, materials, and equipment to ensure that materials are used efficiently
- Identify inefficiencies, wastage, and opportunities for cost savings.
- Provide input into cost variance analysis and corrective actions
- Maintain site-level documentation to support audit and compliance requirements.
- Report incidents, delays, and control breaches promptly.
3. Projects & Capital Expenditure (CapEx)
- Identify and propose building improvement and asset enhancement projects
- Support and or develop CapEx proposals and business cases for approval
- Ensure timely completion of projects to support asset value enhancement and revenue targets
- Provide site-level validation of scope, feasibility, and cost assumptions for approved CAPEX projects.
- Monitor delivery against expected outcomes and escalate deviations.
4. Quality Assurance & Technical Compliance
- Ensure all works comply with approved drawings, technical specifications, and Jamaican Building Codes.
- Conduct routine inspections to verify workmanship and quality standards.
- Identify defects, non-compliance, or rework requirements and enforce corrective actions.
- Support milestone inspections and quality sign-offs.
5. Budgeting & Financial Management
- Monitor project spend against approved budgets at the site level (daily/weekly).
- Ensure all activities are executed within approved cost parameters.
- Identify and flag potential cost overruns early (materials, labour, variations).
- Enforce cost discipline across contractors and site activities.
6. Client & Tenant Relationship Management
- Serve as a point of contact for suppliers, third party vendor and property owner during the duration of the project fostering a collaborative, trust-based service culture
- Address client & contractor issues and ensure timely resolution to support retention and revenue stability
- Ensure that properties are delivered in full accordance with commercial agreements.
7. Contractor & Vendor Management
- Lead the procurement and management of contractors and service providers supporting property operations, including security, janitorial, landscaping, MEP maintenance, waste management, and specialist vendors.
- Establish and monitor performance metrics and SLAs to ensure quality, safety, service reliability, and value for money.
- Negotiate and administer vendor contracts in alignment with Group procurement and compliance standards.
- Certify completed works, approve invoices, and ensure accuracy of supporting documentation.
- Manage vendor performance issues and disputes firmly and constructively to protect project and operational outcomes.
- Secure information in keeping with Data Protection requirements
8. Governance, Reporting & Continuous Improvement
- Prepare and deliver structured management reports covering project performance, financial status, risks, and KPIs.
- Maintain accurate and auditable documentation to support regulatory compliance and internal governance.
- Ensure adherence to company policies, delegated authority frameworks, and audit requirements.
- Identify and implement continuous improvement initiatives to enhance operational efficiency, cost management, and service delivery.
- Assist in developing, updating, and maintaining Project Management procedural guides
- Identify opportunities to improve:
o Operational efficiency
o Service delivery standards
o Cost management
- Ensure adherence to company policies on records management, delegated authority, and regulatory audits.
9. Other
- Respond proactively to emergencies.
- Identify opportunities to improve processes, reduce waste and elevate service delivery standards.
- Assist with planning and coordination of team for attendance of industry events
- Liaise with Group ICT to assist Agents with User credentials and log-in information where necessary.
- Attend Real Estate sales events and other Business Development activities for both Group and non Group events.
- Any other duty as assigned.
