Job Summary:

Responsible for leading and managing the secure, efficient, and compliant logistics operations across the Group. This role oversees the critical movement of confidential documents and stationery throughout Jamaica, manages the company vehicle fleet, supervises a team of drivers/bearers, and ensures adherence to stringent regulatory requirements, particularly those set by the Bank of Jamaica (BOJ) and the Financial Services Commission (FSC).

Duties & Responsibilities:

Team Leadership & Management:

  • Train, schedule, supervise, and motivate a team of drivers/bearers responsible for the secure collection and delivery of confidential documents and stationery.
  • Conduct regular performance reviews, set clear objectives, and provide ongoing coaching and feedback.
  • Foster a culture of security awareness, professionalism, accountability, and exceptional customer service within the team.
  • Manage staff attendance, leave, and disciplinary matters in accordance with company policy.

Secure Document & Stationery Logistics:

  • Plan, coordinate, and oversee the secure, timely, and efficient collection and delivery of highly confidential documents (branches, departments, data centers) across Jamaica.
  • Manage the end-to-end stationery supply chain, including centralized procurement (working closely with Procurement), warehousing, inventory control, and scheduled distribution to all branches and departments island wide.
  • Implement and enforce strict security protocols for the handling, transportation, and storage of confidential materials and stationery at all stages.

Fleet Management:

  • Manage the company fleet of vehicles assigned to logistics operations, ensuring they are safe, reliable, properly maintained, and compliant with all Jamaican laws (insurance, registration, fitness).
  • Develop and implement vehicle maintenance schedules, coordinate repairs and servicing with approved vendors, and manage fuel consumption and costs effectively.
  • Maintain accurate and up-to-date fleet records (maintenance logs, fuel usage, insurance, driver assignments).
  • Ensure vehicles are equipped with necessary security features (e.g., locks, GPS tracking if applicable) for transporting confidential items.

Inventory Management (Stationery):

  • Maintain accurate, real-time records of stationery inventory levels at the central warehouse and across all locations.
  • Conduct regular stock counts, reconcile discrepancies, and generate inventory reports for management.
  • Forecast stationery needs based on consumption patterns and business requirements to prevent stockouts or overstocking.
  • Manage the secure storage of stationery within the warehouse.

Supplier & Vendor Management:

  • Liaise closely and build strong relationships with key suppliers and vendors, including vehicle maintenance providers, fuel suppliers, and stationery suppliers.
  • Negotiate service agreements, monitor vendor performance (e.g., turnaround time for repairs, delivery reliability), and resolve any service issues promptly.
  • Evaluate vendor’s performance and recommend improvements or changes as needed.

Internal Collaboration & Service Improvement:

  • Work collaboratively with internal departments (Branches and Support Units) to understand their logistical needs and ensure service levels exceed expectations.

Qualification & Experience:

  • Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, Operations Management or equivalent from a related field from a recognized tertiary institution.
  • Minimum of 5 years of progressive experience in logistics, fleet management, or supply chain operations, with at least 2-3 years in a leadership role.

Skills & Competence:

  • Good time management skills with the ability to multi-task in a fast-paced environment.
  • Strong team player; able to engage in team environment with strong proactive communication skills
  • Excellent communication skills, both oral and written
