 Student Management System (SMS) Administrator

JOB SUMMARY

The SMS Administrator will be responsible for the day to day management and oversight of the SMS. The Administrator is accountable for ensuring that all operational/ user challenges are collated and brought to the attention of the relevant department (internal) and/ or developer, for corrective measures. Is also responsible for the monitoring of all SMS related queries and requests in order to ensure the efficient and effective management of the SMS through the Office of the Registrar.

KEY DUTIES & RESPONSIBILITIES

  1. Provide Quality Control facilities to ensure that data uploaded to the SMS is monitored for accuracy and forwarded for correction as needed.
  2. Assist in the formulation of standards, policies and control procedures for the operation of the SMS; Report on staff adherence to these and other related policies as set out by the UCC.
  3. Monitor the functions of the SMS (exclusive of highly technical areas) and make reports to relevant bodies.
  4. Conducting statistical analysis, using statistical software and other methods to gather, analyze and interpret research data working with department Heads, Academic, Administrative and Strategic Business Units HODs.
  5. Formatting data to develop and prepare reports, charts, tables and other related documents.
  6. Collaborating with the relevant IS&T appointed Manager to ensure the timely publication of data and dashboards to all relevant stakeholders within UCC so as to facilitate decision-making.
  7. Monitor all requests made via the SMS for Registry action (Admissions, Records)
  8. Leverage the uses of AI to generate and analyze Data sets.
  9. Create customized reports in response to requests from authorized UCC personnel
  10. Receive reports from end-users to forward to developer for corrective and decisive action.  Follow-up and provide feedback as required.
  11. Management of the Academic Calendar in the SMS for the facilitation of start and end dates in each semester and sessions for undergraduate and cycles for graduate studies. 
  12. Assist in the coordination and compilation of information for reports reflective of various aspects of the student population as available in the Student Management System and other Registrar’s office activities to present to the Executive and other internal customers as required.
  13. Establish and maintain good working relationships with internal and external customers to promote best practice and information sharing.
  14. Liaise where necessary, with all internal and external customers in order to provide an efficient and effective service to the team.

The above list is not exhaustive and other duties commensurate with the grade and general nature of the post may, from time to time, be required.  In addition, there may be some variation and/ or development of the above duties and responsibilities without changing the general nature of the post.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Functional knowledge of electronic student management systems (knowledge of Student Management System (SMS) would be a distinct asset).
  • Working knowledge of relational database management systems such as MS SQL and Oracle - at least 3 years required
  • Working knowledge of structured query language (SQL) - at least 3 years
  • Working knowledge of report writing tools such as MS SQL Reporting Services and Crystal Report Writer - at least 3 years
  • Experience as a Database Administrator (DBA) may also be a distinct advantage
  • Strong working knowledge of MS Excel.
  • Knowledge and understanding of the UCC structure, goals and objectives, policies and procedures.
  • General knowledge of academic regulations.
  • Ability to analyze a variety of administrative problems, to make recommendations for their solution and to prepare working procedures.
  • Strong information technology skills and competencies.
  • Good report writing skills  
  • Excellent critical thinking skills.
  • Capability for meticulous attention to detail in matters of record accuracy, format.
  • Good organizational skills
  • Initiative, tact and maturity.
  • Ability to establish and maintain effective working relationships with associates, students, and persons engaged in the industry
  • Strong interpersonal, oral and written communication skills
  • Ability to work in an open office environment
  • Flexible in approach to work.
  • Amenable to assist in general office duties and administration as part of a team.

QUALIFICATIONS AND EXPERIENCE:

  • At least a Bachelor’s degree in Computer Science, Information Systems or related discipline.
  • A minimum of three (3) years experience, preferably in a higher education environment, in related field.
