The Sponsorship & Events Officer is a mid-level role responsible for the end-to-end coordination of sponsored events and brand activations.
Working closely with the Marketing and cross-functional teams, this role ensures that every activation is delivered on brand, on time, and to the highest standard of execution. This is a hands-on role suited to a detail-oriented professional who thrives in fast-paced environments, takes ownership of logistics without losing sight of the bigger picture, and understands that flawless execution is the foundation of effective brand presence.
JOB RESPONSIBILITIES
Event Planning & Activation
- Provide support with the coordination and on-site execution of all brand, corporate, Foundation and sponsored events and activations from planning through post-event wrap-up.
- Develop and manage activation timelines, run-of-show documents, and pre-event checklists to ensure all elements are delivered according to plan.
Brand Presentation & Standards
- Oversee the installation and presentation of all branding elements at activations, including signage, banners, booths, and promotional materials, ensuring strict adherence to brand guidelines.
- Manage the branded presentation of internal teams attending events, including uniforms, branded apparel, and collateral.
Vendor Management
- Identify vendors required for event delivery, including production companies, printers, logistics providers, and on-site service suppliers.
- Obtain and compare vendor quotations, providing recommendations that balance quality, cost, and reliability.
- Manage vendor relationships throughout the event lifecycle, ensuring deliverables are met on schedule and to specification.
Budget & Administrative Coordination
- Compile vendor quotations and prepare procurement submissions for management approval in line with internal financial controls.
- Maintain organised records of event expenditures, contracts, and vendor correspondence.
Logistics & On-Site Execution
- Support with the coordination of all event logistics including equipment sourcing, delivery scheduling, setup, and breakdown.
- Serve as a first point of contact on the ground during activations, proactively resolving or escalating issues to maintain seamless execution.
- Conduct pre- and post-event asset audits to ensure all materials are properly accounted for and returned or stored appropriately.
- Maintain and manage the organisation's branding inventory, including tracking the condition, availability, and replenishment of branded assets such as signage, display materials, and promotional collateral, to ensure readiness for all upcoming activations.
QUALIFICATIONS & EXPERIENCE
- Bachelor's degree in Marketing, Communications, Events Management, or a related field.
- 2–4 years of experience in events coordination, brand activations, or sponsorship management.
- Demonstrated ability to manage multiple events or projects simultaneously under deadline pressure.
- Experience sourcing and managing external vendors, including negotiating quotations and managing deliverables.
- Proficiency in project management tools and the Microsoft Office Suite; familiarity with event management software is an advantage.
- Strong written and verbal communication skills, with the ability to liaise professionally across internal teams and external partners.
- Willingness to work flexible hours, including evenings and weekends, as required by the events calendar.
COMPENSATION
Base salary (gross per annum): JMD$3,300,000.00
