The Sponsorship and Events Coordinator is responsible for managing sponsorships, coordinating events, and ensuring the successful execution of marketing initiatives.

Sponsorship & Events Coordinator

This role involves identifying sponsorship opportunities, developing relationships with sponsors, planning and organizing events, and overseeing event logistics.

Job Duties & Responsibilities:

Sponsorship Management

  • Identify potential sponsorship opportunities aligned with marketing goals and target audiences.
  • Develop sponsorship proposals, highlighting the benefits and value of partnership.
  • ​​Build and maintain relationships with sponsors, providing exceptional customer service.
  • Negotiate sponsorship agreements, ensuring mutual benefit for the company and sponsors.
  • Track and report on sponsorship performance, including return on investment (ROI).
  • Oversee contract agreements with sponsors and vendors, ensuring all parties adhere to contractual obligations. Be prepared to address any challenges that arise during the sponsorship and event planning process, finding creative solutions to ensure successful outcomes.

Event Planning & Execution

  • Plan, organize, and execute all JOL Group events.
  • Define event objectives, themes, and target audiences in alignment with marketing strategies.
  • Coordinate event logistics, including venue selection, vendor management, and budgeting.
  • Collaborate with internal teams and external partners to ensure seamless event execution.
  • Oversee on-site event management, including registration, set-up, and coordination of activities.
  • Evaluate event success through attendee feedback and post-event analysis.

Relationship Management

  • Foster and maintain relationships with sponsors, vendors, and other event stakeholders.
  • Coordinate with sponsors to fulfill contractual benefits, such as branding opportunities.
  • Liaise with speakers and presenters, ensuring their requirements are met for event participation.
  • Act as a point of contact for attendees, addressing inquiries and providing information.
  • Collaborate with marketing teams to promote events and engage the target audience.

Stakeholder Engagement

  • Collaborate with internal and external stakeholders, such as vendors, suppliers, speakers, and attendees, to ensure smooth event operations.
  • Maintain strong relationships with key stakeholders and address their needs and concerns.

Logistics Coordination

  • Coordinate with vendors and suppliers to ensure timely delivery of services and resources.
  • Oversee logistical aspects of events, including event setup, registration, attendee management, and post-event evaluations.

Trend Monitoring

  • Stay updated on industry trends, best practices, and competitor activities related to sponsorships and events. Use this knowledge to enhance the organization's offerings and strategies.


Experience & Qualifications:

  • Bachelor's Degree in Marketing, Communications, Events Management, Public Relations, or related field.
  • Minimum 3 years' experience in Marketing/Sales/Promotions/Public Relations.
  • Strong organizational and project management skills to effectively plan and coordinate events.
  • Excellent communication and interpersonal skills to interact with sponsors, stakeholders, vendors, and event attendees.
  • Negotiation and relationship-building skills.
  • Attention to detail to ensure contractual obligations and deliverables are fulfilled.
  • Creativity and problem-solving abilities.
  • Proficiency in using event management software, project management tools, and Microsoft Office Suite.
  • Familiarity with marketing and promotional strategies to effectively activate sponsorships and attract event attendees.
  • Understanding Budgeting & Financial Management.
  • Time Management and Flexibility - strong time management skills and the ability to handle stress and work under pressure are important.
