Job Summary

A rapidly-growing diversified group of companies needs to fill the position of Executive Assistant to the Group Executive Chairman.  This administrative professional must be comfortable working in a dynamic, results-driven entrepreneurial environment, coordinating and maintaining balance among multiple priorities and ensuring the maintenance of favorable relations with internal and external stakeholders.  The position requires an individual who is creative and disciplined with strong written and oral communication, administrative, and organizational skills. The incumbent needs to be able to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Key Responsibilities

The following are the core duties and responsibilities of this position:

  • Manage the appointment calendar of the Group Executive Chairman, ensuring that he is kept informed of upcoming commitments and responsibilities;
  • Prepare for upcoming meetings to be conducted by the Group Executive Chairman by ensuring that the agenda for the meeting is prepared and circulated in reasonable time before each meeting and that minutes of previous meetings are prepared and dispatched to meeting attendees on a timely basis;
  • Draft, for the approval of the Group Executive Chairman, acknowledgement letters and other responses to correspondence, employing a hand-on approach in dealing with the administration of the office of the Group Executive Chairman;
  • Communicate directly, on behalf of the Group Executive Chairman, with board members, CEO’s and team members of group companies and other stakeholders on a wide range of matters;
  • Follow up on issues being dealt with by the Group Executive Chairman, employing the highest level of confidentiality and professionalism to determine and undertake the most appropriate action;
  • Cultivate favorable relationships with internal and external stakeholders, building an atmosphere of credibility, trust and goodwill throughout the organization and contributing to its overall success;
  • Assist the Group Executive Chairman with managing external responsibilities such as participation in external boards, industry associations and social or community organizations.

Job Specifications

Required Educational Qualifications and Experience

  • Bachelor’s degree in Business Administration, Marketing or other related field;
  • Outstanding track record of high performance with at least eight (8) years’ experience in organizational leadership or in supporting corporate executives

Skills and Competencies

  • Highly disciplined professional with strong organizational skills reflecting the ability to establish priorities among multiple tasks with excellent attention to details and commitment to excellence
  • Very strong interpersonal skills in dealing with corporate executives, other team members, board members and external partners
  • Excellent written and verbal communication skills
  • Strong problem-solving and decision-making capability
  • Emotional maturity with the ability to be highly productive working independently
  • Highly proficient in Microsoft Office and project management tools
  • Ability to multitask and work efficiently under pressure
