JOB SUMMARY
Corporate Maintenance Limited is seeking a Senior Administrative / Operations Assistant, who is responsible for managing all areas of the office, able to work on his / her own most of the times and liaise directly with the Managing Director.
Reports to: Managing Director
Supervises: Custodians, Team Leaders, Projects
Liaises with: Clients, Custodians, Prospective Clients, Suppliers
QUALIFICATION & EXPERIENCE
- Tertiary Level Certification with at least three (3) years experience at the Supervisory Level
- Knowledge of Microsoft Office (Word, Excel, Power Point, etc.)
- Basic Accounting knowledge (Payroll)

SPECIAL CONDITIONS
- Required to work beyond normal work hours

- Valid Driver’s License would be an asset
DUTIES & RESPONSIBILITIES
- Prepare the payroll schedule on a weekly basis and ensure that the timesheets are properly filled out by the Custodians (done using Microsoft Excel 2016 then transported to payroll platform)
- Ensure that the schedule for the GCT and Statutory payments are submitted to the Managing Director for filing and payment
- Filing of the Annual Return forms with the Companies Office of Jamaica, GCT, Statutory and other Company related Documents
- Attend to HR related issues on a timely basis and ensure that all Custodian’s files are kept current
- Assist the Managing Director with interviews, selection and training of Custodians
- Preparation of invoices and quotations
- Assist the Managing Director with site inspection for prospective jobs and also for existing contracts
- Prepare Janitorial tender proposals
- Marketing with the intention of garnering new contracts and repeat customers
- Any other duties and responsibilities that may be assigned
