JOB SUMMARY

Corporate Maintenance Limited is seeking a Senior Administrative / Operations Assistant, who is responsible for managing all areas of the office, able to work on his / her own most of the times and liaise directly with the Managing Director.

Reports to:      Managing Director

Supervises:      Custodians, Team Leaders, Projects

Liaises with:     Clients, Custodians, Prospective Clients, Suppliers

QUALIFICATION & EXPERIENCE

  • Tertiary Level Certification with at least three (3) years experience at the Supervisory Level
  • Knowledge of Microsoft Office (Word, Excel, Power Point, etc.)
  • Basic Accounting knowledge (Payroll)

  • General knowledge of Administrative duties
  • Excellent time management skills
  • Excellent interpersonal skills
  • Good analytical and problem solving skills
  • Good oral and written communication skills
  • Good crisis management skills

 OTHER REQUIREMENTS

  • Mature balanced personality
  • Flexible and cooperative attitude
  • Ability to multi-task and work on own initiative

SPECIAL CONDITIONS

  • Required to work beyond normal work hours
  • Required to work flexi hours
  • Valid Driver’s License would be an asset

DUTIES & RESPONSIBILITIES

  1. Prepare the payroll schedule on a weekly basis and ensure that the timesheets are properly filled out by the Custodians (done using Microsoft Excel 2016 then transported to payroll platform)
  2. Ensure that the schedule for the GCT and Statutory payments are submitted to the Managing Director for filing and payment
  3. Filing of the Annual Return forms with the Companies Office of Jamaica, GCT, Statutory and other Company related Documents
  4. Attend to HR related issues on a timely basis and ensure that all Custodian’s files are kept current
  5. Assist the Managing Director with interviews, selection and training of Custodians
  6. Preparation of invoices and quotations
  7. Assist the Managing Director with site inspection for prospective jobs and also for existing contracts
  8. Prepare Janitorial tender proposals
  9. Marketing with the intention of garnering new contracts and repeat customers
  10. Any other duties and responsibilities that may be assigned
