REPORTS TO: Finance Supervisor
ROLE PURPOSE
The Senior Accounts Clerk supports the Finance function by ensuring the accurate processing, recording, reconciliation, and maintenance of financial transactions and records. The role contributes to financial accuracy, internal control compliance, timely reporting, and statutory support, in accordance with Company policies and established procedures.
KEY RESPONSIBILITIES
1. Financial Processing & Record Management
- Process, review, and maintain accurate accounts receivable and accounts payable records on a timely basis.
- Follow up on outstanding receivables and support credit control activities.
- Verify invoices and supporting documentation prior to posting.
- Prepare payment documentation in accordance with approved procedures.
- Maintain organised and up-to-date financial records (electronic and physical).
- Ensure transactions are correctly coded and recorded in the accounting system.
2. Reconciliations & Account Monitoring
- Perform routine reconciliations including bank reconciliations (including local and foreign currency accounts such as TT and US accounts), supplier, customer, general ledger and sub-ledger accounts.
- Reconcile cash balances and investigate discrepancies.
- Identify and report variances for review and resolution.
- Monitor supplier and ledger balances and escalate material discrepancies where required.
- Support adherence to internal control and documentation standards.
3. Reporting, Tax & Statutory Support
- Assist with preparation of financial schedules and reconciliations for month-end reporting.
- Prepare monthly management reports and supporting financial summaries.
- Assist in analysing management reports and highlighting material variances or trends.
- Generate aged receivables and aged payables summaries.
- Preparation of VAT returns and quarterly tax filings.
- Assist in the preparation and reconciliation of statutory payments such as PAYE, Health Surcharge, Income Tax and other applicable deductions.
- Provide documentation to support audit and compliance requirements.
4. Cross-Functional Financial Support
- Liaise with relevant departments to validate financial information.
- Respond to routine financial queries in a professional and timely manner.
- Assist with improving financial processes and record-keeping practices.
5. Stock, Inventory & Costing Support
- Reconcile inventory quantities between operational stock reports and the financial system.
- Assist in inventory costings and maintenance of costing schedules.
- Review and verify stock adjustments, write-offs, and variances to ensure accurate financial recording.
- Support month-end inventory valuation processes and maintain related financial documentation for reporting and audit purposes.
6. Payroll Support
- Assist in preparing and reviewing payroll (weekly and monthly) under supervision, where required.
- Assist with payroll-related reconciliations and statutory deductions.
- Maintain strict confidentiality of payroll and employee financial information.
QUALIFICATIONS & EXPERIENCE
- At least three (3) years’ experience in a senior accounts or finance support position.
- ACCA Level 2–3 or equivalent progression in a recognised accounting qualification.
- Working knowledge of accounting software (e.g. Peachtree or similar systems).
- Proficiency in Microsoft Word and Excel.
TECHNICAL & PROFESSIONAL SKILLS
- Sound understanding of accounting principles.
- Ability to perform bank, ledger, and sub-ledger reconciliations accurately.
- Working knowledge of VAT, statutory deductions, and tax-related processes.
- Understanding of inventory accounting and basic costing principles.

- Ability to work independently with minimal supervision.
