Schedule Coordinator (Dental Centre)

A well-established and customer-focused dental centre in Kingston is seeking a highly organized, professional, and service-oriented Schedule Coordinator to join its team.

The successful candidate will play a critical role in ensuring the smooth coordination of patient appointments, maintaining effective communication between patients and dental professionals, and delivering an exceptional patient experience. This position is ideal for an individual who enjoys interacting with people, managing schedules, solving problems, and contributing to the efficient operation of a busy dental practice.

Key Responsibilities

  • Welcome and assist patients in a warm, professional, and courteous manner.
  • Manage patient appointments and maintain an efficient schedule to optimize clinic operations.
  • Communicate appointment updates, schedule changes, and treatment-related information to patients and clinicians.
  • Answer telephone calls, respond to inquiries, and provide information regarding services offered.
  • Confirm appointments, conduct follow-up calls, and coordinate patient communications.
  • Process patient payments, insurance co-payments, receipts, and payment arrangements.
  • Accurately enter and maintain financial and patient records within the practice management system.
  • Reconcile daily transactions and identify discrepancies as necessary.
  • Maintain accurate documentation of patient communications and administrative activities.
  • Coordinate with dental laboratories, specialists, and other stakeholders to facilitate patient care.
  • Prepare reports, meeting minutes, and administrative documentation as required.
  • Assist with client retention and relationship-building initiatives.
  • Track patient satisfaction and support efforts to enhance the overall patient experience.
  • Participate in ongoing training and professional development activities.

Qualifications and Experience

  • Associate Degree in Business Administration, Human Resource Management, Healthcare Administration, or a related field.
  • Training or certification in Sales, Marketing, Customer Service, or a related area would be an asset.
  • Minimum of two (2) years' experience in a similar administrative, scheduling, customer service, healthcare, dental, or client-facing role.
  • Experience working in a dental practice, medical facility, healthcare environment, or professional services organization would be an advantage.
