Location: Christ Church, Barbados
Reports to: Group President
Department: Sales & Administration

Role Overview

The Sales & Administrative Logistics Specialist is responsible for driving revenue growth while ensuring the smooth execution of day‑to‑day logistics and administrative functions. This role supports customer acquisition, quotation and billing accuracy, shipment coordination, documentation compliance, and internal workflow continuity. It requires a detail‑oriented, customer‑focused professional who can manage multiple priorities in a fast‑paced logistics environment.

Key Responsibilities

Sales & Customer Engagement

  • Develop and maintain strong relationships with existing and prospective clients across retail, hospitality, and industrial sectors.
  • Prepare and deliver quotations, proposals, and service offerings with accuracy and timely follow‑up.
  • Track sales leads, maintain CRM records, and support the full sales cycle from inquiry to invoicing.
  • Identify opportunities to upsell or cross‑sell Aeromarine services to increase revenue and customer retention.
  • Support the Group President and management team with sales reporting, forecasting, and pipeline updates.

Logistics Coordination

  • Coordinate incoming and outgoing shipments, ensuring alignment with carriers, agents, and customers.
  • Monitor shipment status, provide customers with ETA updates, and communicate updates to the Aeromarine team.
  • Prepare and verify logistics documentation, including bills of lading, delivery notes, customs paperwork, and compliance forms.
  • Liaise with port authorities, shipping lines, and internal teams to ensure operational continuity.
  • Maintain accurate records of cargo movements, service orders, and operational costs.

Administrative & Operational Support

  • Working in all aspects of Administration. Tasks such as preparing: quotes, invoices, receipts, Bills of Ladings, shipment bookings, notices, Asycuda entries, import documentation, export documentation, delivery documentation, appointments, freight certify BLs, VGM submission, load information, collection / delivery of container seals, demurrage coordination and complete amendments when required.
  • Filling documents in required folders
  • Ensure timely processing of arrival notices, invoices, receipts, and payment confirmations.
  • Assist with internal reporting, including weekly activity summaries, and customer account updates.
  • Uphold Aeromarine’s standards for accuracy, professionalism, and customer service.

Required Skills & Competencies

  • Strong communication and customer‑service orientation.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • High proficiency in Microsoft Office (Excel, Word, Outlook).
  • Solid understanding of logistics processes, shipping documentation, and port operations. (Would be an asset however not necessary)
  • Strong numerical accuracy and attention to detail.
  • Ability to work independently and collaboratively in a fast‑paced environment.
  • Problem‑solving mindset with a proactive approach to operational challenges.

Qualifications & Experience

  • Previous experience in logistics, shipping, freight forwarding, or a related administrative/sales role.
  • Experience in customer facing roles with demonstrated sales support capability.
  • Familiarity with Caribbean port operations and regional logistics is an asset.
  • Post secondary education in Business, Logistics, Supply Chain, or a related field preferred

  • Accuracy and timeliness of quotations, documentation, and invoicing.
  • Customer satisfaction and responsiveness.
  • Sales pipeline activity and conversion support.
  • Shipment coordination efficiency and reduction of operational delays.
  • Internal workflow reliability and administrative completeness.

Remuneration

 $3000.00 BBD monthly- Base Salary and Performance Incentives.
