SENIOR SECRETARY
Applications are invited from suitably qualified persons to fill the position of:
SENIOR SECRETARY
JOB OBJECTIVE
To provide secretarial and administrative support services to the Manager and staff of the Section assigned and to ensure the smooth operation of the office.
DUTIES AND RESPONSIBILITIES
- Establish systems and procedures for the efficient workflow and general management of the office;
- Type correspondence, minutes of meetings, and reports from dictation or notes; photocopy/duplicate material as required;
- Research material and draft responses to queries and requests as requested by staff in the Section;
- Handle in-coming mail and materials, organize materials in priority order for the attention of the Manager/Section Head, and handle out-going mail and deliveries;
- Utilize standard filing system to store written material;
- Retrieve information from files to guide decision-making and appropriate responses;
- Screen, log, and refer incoming calls; take messages and/or formulate appropriate responses in the absence of the party;
- Screen and receive visitors, schedule appointments on behalf of the Manager/Section Head;
- Keep track of issues to be addressed by the Manager/Section Head and give reminders for upcoming deadlines;
- Handle itineraries, travel plans, and logistics for the Manager/Section Head; and arrange meetings and conferences;
- Establish systems and procedures for inter-office communications and act as an inter liaison;
- Design standardized procedures and formats to deal with routine activities and correspondence;
- Perform any other related duties that may be assigned from time to time.
REQUIRED EDUCATION AND EXPERIENCE
- Diploma in Secretarial Studies from a recognized institution with three years’ experience as a Secretary
- Five (5) CXC/GCE subjects with English and Mathematics
- Advanced training in office management
- Diploma in Public Relations & Communications or Journalism would be an asset
KNOWLEDGE, ABILITIES, AND SKILLS
- Knowledge of modern office practices and systems
- Ability to type at 60 w.p.m and word processing skills
- Well developed oral communication skills
- Knowledge of telephone procedures and etiquette
- Excellent time management and organizational skills
- Ability to create, compose and edit written materials
- Critical attention to detail
- Good report writing and records management skills
- Proficiency in Microsoft Office
- Knowledge of basic accounting and budgeting
- Good command of written standard English
- Well developed human relations and team-building skills
- Confidentiality, tact, and decorum
