Job Summary:
The Reservations Agent is responsible for handling all enquiries and booking all reservations for the Estate and Great House Villas accurately and efficiently, while ensuring that all payments are collected prior to guest arrivals. The ideal candidate will be warm, organized, and dedicated to maintaining impeccable levels of service in line with The Tryall Club’s standards.
Key Responsibilities:
Greet and welcome guests visiting the Reservations Office and handle all enquiries via phone, email, chatbot, WhatsApp, website, and in-person promptly and professionally.
Receive, manage, and accurately book individual, party, and group reservations from direct clients, travel advisors, and tour operators.
Ensure all guest details (guest names, accessibility needs, children’s ages, special requests) are correctly recorded in the Property Management System (PMS).
Prepare and send confirmation letters for all bookings.
Monitor and respond to emails in both personal and departmental inboxes, ensuring timely follow-up and effective handovers.
Proactively convert enquiries into bookings, utilizing strong sales and negotiation skills.
Ensure all reservation payments are collected and posted correctly, following up on outstanding deposits.
Prepare and distribute daily arrival lists and collaborate with Front Office, Villa Management, and Housekeeping teams.
Run daily audit reports on postings and maintain accurate tracking in spreadsheets.
Address guest and homeowner queries calmly and professionally.
Stay updated on marketing campaigns, rate packages, and promotions.
Build relationships with guests and homeowners, ensuring a personalized experience.
Visit villas regularly to maintain familiarity with the product.
Report system and technical issues promptly to IT.
Support management with health, safety, and sustainability practices.
Perform other duties as assigned.
Requirements & Qualifications:
Minimum Associate Degree in Hospitality Management or related field.
At least 3 years’ experience in a similar role within the luxury hospitality industry.
Deep knowledge of reservations procedures, including party and group bookings.
Excellent sales skills with strong negotiation and closing techniques.
Proficiency in English with exceptional written and oral communication skills.
High competence in MS Office Suite and Google Drive.
Experience with Property Management Systems (PMS); technologically adept.
Outstanding organizational, time management, and multi-tasking abilities.
Excellent interpersonal and customer service skills with high emotional intelligence.
Ability to remain calm under pressure and handle difficult requests gracefully.
