Job Summary

Key Responsibilities

  • Promptly, accurately, professionally, and courteously receive and manage all telephone calls and visitors.

  • Assess, direct, record, and relay calls, inquiries, and messages efficiently.

  • Utilize all features of the telephone and voicemail system effectively.

  • Ensure the reception desk is staffed at all times during assigned working hours.

  • Prepare, process, sort, and distribute all outgoing and incoming mail.

  • Sign for deliveries when required and notify relevant recipients.

  • Ensure proper collection and distribution of company information to relevant parties.

  • Execute call requests from staff members.

  • Coordinate and disburse company payments to relevant parties as assigned.

  • Assist with the procurement, maintenance, and organization of important company records.

  • Maintain a thorough working knowledge of and comply with company policies, procedures, and regulations.

  • Keep the immediate supervisor informed of activities, outcomes, and potential issues, and recommend corrective actions where necessary.

  • Maintain strict confidentiality regarding customer, visitor, staff, and organizational matters.

  • Perform routine office and administrative tasks to support a professional office environment, as directed by the Talent Management Department.

  • Prepare and route purchase orders for lunchroom items and toiletries for all branches and departments.

  • Assist the Talent Management Administrative Assistant with assigned tasks as needed.

  • Ensure surrounding windows and external doors are locked and secured at the end of each working day.

  • Report to work regularly and punctually.

  • Assist with other duties as assigned to support business operations.
