The Quality/Lab Coordinator plays a critical role in coordination and support within the Quality Assurance and R&D functions within the company, providing technical, administrative, and operational support to the Chief Quality Officer (CQO) and Technical Quality Manager.

Duties & Responsibilities:

Departmental & Administrative Coordination

  • Provide comprehensive technical, administrative and coordination support to the CQO and Technical Quality Manager including data entry & reporting ensuring timely follow-up and closure.
  • Organize, maintain, and keep updated quality databases, electronic and physical records- quality reports, google sheets / logs, trackers, line monitoring and batch records, and regulatory files.
  • Prepare meeting minutes, memoranda, correspondence, presentations, and technical reports.
  • Follow up with QA staff on outstanding reports, NCRs, line monitors, retained samples etc.
  • Follow up and escalate overdue actions on behalf of CQO
  • Liaise with cross functional teams to support quality objectives and issue resolution
  • Manage QA overtime/ shift allowances forms and timely submission to Payroll
  • Leave management, record keeping and timely submission to HR.
  • Coordinate QA staff training registrations, payments, and maintain training databases and records.
  • Collect, validate, consolidate, and maintain Quality KPIs for monthly departmental reporting.
  • Support TQM with customer complaint management and resolution.
  • Support with external audits (SQF, regulatory, customer), documentation and follow-up.
  • Ensure the laboratory is adequately stocked with chemicals, consumables and supplies at all times.
  • Source and manage suppliers /service providers, obtaining quotations and coordinating deliveries.
  • Prepare purchase requisitions, payment vouchers, and supporting documentation for QA/R&D expenses, ensuring accurate GL allocation and record-keeping.
  • Coordinate scale calibrations and external laboratory testing, tracking, and record keeping.
  • Develop working understanding of plant processes and product flows to support quality operations.
  • Be trained to function as a QA Technician and provide line monitoring/testing support as required.
  • Support the TQM with on-site and off-site product approvals, inspections of discrepant, On-Hold or non-conforming items, liaising with relevant teams for resolution and timely closure.
  • Participate in job-related training and development activities as required by the company.
  • Perform other duties assigned by the CQO consistent with the role.
  • Conforms to all established departmental and company policies, procedures, quality, SQF, GMPs, HACCP, food safety, HSE protocols, confidentiality and ethical standards.

Qualifications & Experience:

  • Bachelor’s Degree/Diploma in Food Science, Chemistry, Engineering, Microbiology, or equivalent
  • 2-3 years relevant experience in a lab and food manufacturing environment.
  • Proficiency in database management and MS Office (Excel, Word, PowerPoint), google sheets
  • Experience working with quality systems, records, and data management in a regulated environment.
