The Job Purpose of the Project Control Co-ordinator is to manage and monitor the Sales Inbox, ensuring that all incoming client requests, tenders, and correspondence are promptly reviewed and actioned. The role also provides support to all divisions in the pre-qualification and tendering processes.

Key Responsibilities:

  • Manage and monitor the Sales inbox, ensuring all incoming client requests, tenders, and correspondence are promptly reviewed and actioned.
  • Log all opportunities in Acumatica using client document references, ensuring full and accurate data entry, including:
    • Opportunity classification (Product/Service)
    • Stage updates (Quote, Qualification, etc.)
    • Deadlines, site visits, and clarification dates
    • Assignment of opportunity owners and departments
  • Review RFP/RFQ/ITT documents to extract key requirements, deliverables, and evaluation criteria.
  • Identify relevant end users based on scope and distribute requests accordingly.
  • Maintain structured filing of all documents and correspondence in SharePoint and Acumatica.
  • Manage client portal access using internal credential logs.
  • Upload tender submissions and supporting documents to client portals within required deadlines.
  • Post clarifications and correspondence to client portals and ensure proper documentation storage.
  • Confirm submission completion with internal stakeholders.
  • Liaise with internal departments including Engineering, Estimating, Finance, HR, and Operations to gather required inputs.
  • Distribute client communications to relevant stakeholders and ensure timely responses.
  • Route non-tender communications appropriately (e.g., Finance, HR, Customer Relations).
  • Maintain and update opportunity status in Acumatica based on internal review meetings.
  • Track submitted proposals and manage client clarification requests.
  • Maintain records of proposal outcomes, including win/loss data.
  • Assist with prequalification submissions and tender compilation as required.
  • Maintain effective communication with both internal and external stakeholders.
  • Contribute to team objectives by completing related tasks as required.
  • Promote and ensure adherence to the QHSES Management System.
  • Perform any other duties or related tasks as assigned.

 

Qualifications:

  • Bachelor’s Degree in Business Management or a related discipline.
  • Minimum of five (5) CXC O’Level subjects, including Mathematics and English Language.
  • Practical & Applied Project Management Essentials Certification would be considered an asset.

 

Experience:

  • A minimum of two (2) years of experience in a similar role within the oil and gas sector (offshore and/or onshore).
