We are seeking a proactive and detail-oriented Project Assistant to support our dynamic event management team. This role combines administrative support with logistical coordination for events. The ideal candidate will be highly organised, client-focused, able to multitask effectively.

Administrative & Project Support

  • Manage calendars, schedule meetings, and coordinate internal communications.

  • Assist with the preparation of reports, presentations, proposals, and other documents.

  • Maintain organised filing systems (digital and physical).

  • Perform general administrative duties and special projects as assigned.

Project Coordination

  • Assist in booking venues, coordinating with vendors, and organising event materials. 

  • Provide on-site event support including setup, breakdown, and real-time troubleshooting. 

  • Track inventory and coordinate the procurement of supplies and equipment. 

  • Update and maintain digital client databases and project records.

Financial Tracking

  • Track project budgets to ensure financial accuracy.

  • Convert project quotes to invoices upon approval.

  • Follow up on outstanding client payments and process vendor payments.

  • Assist with distribution of petty cash for ongoing and upcoming projects.
