The Project Assistant will serve as an administrative & operations professional in the performance of various duties for the organization

Description: The Project Assistant will serve as an administrative & operations professional in the performance of various duties for the organization. The successful candidate will assist in maintaining & preparing executive reports (facilities, maintenance, special projects etc.) and perform other duties as may be periodically assigned.

  • Prepare documentation as requested by Managing Director with responsibility for Facilities;
  • Update Facilities/Maintenance/Inventory Google Sheets as requested;
  • Obtain Quotations and prepare comparisons as may be required and requested;
  • Obtain quotations for frequently used construction and outfitting items, against current stock and projected usage in line with company procedures (procurement link etc.);
  • Provide daily updates for Procurement Director on outstanding orders, payment methods and any other specific request as may be required
  • Develop MS Project Timelines with Contractors in lieu of scheduling, purchasing and starting operations;
  • Drafting and issuing of Contracts for various phases of works, in tandem with MS Project Timeline;
  • Obtaining quotes, development of comparisons and reconciliation against budget for all items required in construction and outfitting;
  • Daily briefs to the onsite project officer as to ensure targets are met and daily reports are reconciled against the MS Project Timeline;
  • Any other task as may be assigned.

 

Qualifications:

  • Certificate in Business Management or at least two (2) years’ experience in a similar field;
  • Computer Proficiency in Microsoft Office Suite;
  • Excellent Communication Skills;
  • Pro Active;
  • Detail Oriented;
  • Ability to Multi-Task
