The Production Systems & Operations Coordinator is responsible for supporting the daily operational execution of the Production Department by ensuring that systems, processes, and reporting tools are effectively used, maintained, and optimized.

SUMMARY OF JOB: This role facilitates compliance with production workflows, assists with data collection and validation, maintains system documentation, coordinates BI reporting, and supports the execution of training, OKRs, and improvement initiatives. The position requires strong organizational, analytical, and communication skills, as well as the ability to collaborate across departments to ensure standardized practices, data integrity, and continuous improvement within the production environment.

KEY RESPONSIBILITIES:

Production Workflow Support 

  • Monitor the production receipt process and job completion daily to ensure workflow accuracy and compliance in Radius.
  • Create, manage, and remove stop codes in alignment with real-time production needs.
  • Collaborate with the Applications Specialist and external consultants to troubleshoot and improve Radius production workflows.
  • Understand and support AC4D and SFDC operational requirements.
  • Liaise with maintenance to log and track production-related equipment service requests using MaintainX.
  • Management of Production non-conformances and co-ordination of resolutions / corrective actions.

Production System Documentation & Standardisation

  • Proactively lead the documentation and continuous improvement of production systems in SystemHUB following SYSTEMology framework.
  • Collaborate across departments to prioritise and document key processes impacting production performance.
  • Develop role-specific learning tracks for all production positions to support standardised training and onboarding.
  • Continuous development of a strong working knowledge of the SYSTEMology framework and SystemHUB platform to extract, document and improve production systems.

Production BI Champion

  • Act as the department lead for the Production BI App, handling user issues, enhancements, and system improvements.
  • Ensure data integrity, consistency, and accuracy in the Production BI App by implementing and monitoring processes related to data validation
  • Collaborate with teams to integrate BI data with other business systems into e.g., ERP, scheduling and maintenance systems
  • Champion the use of Production BI App to drive operational meetings.

OKR Management & Goal Execution

  • Support the execution of the OKR (Objectives and Key Results) framework within the Production Department.
  • Work with the Production Manager to align departmental OKRs with company goals and performance metrics.
  • Facilitate regular OKR check-ins, providing data-driven updates and identifying action items for each cycle.

Project Support & Coordination

  • Assist with project documentation and planning in collaboration with the PMO, including charters, WBS, and RACI charts
  • Provide bi-weekly project updates to the Production Manager for PMO check-ins and LIT executive updates.

Training & Administrative Support

  • Maintain updated training records in alignment with HR training processes.
  • Track and report employee attendance, overtime and shift summaries using the Orange HRM system to drive BI & payroll.
  • Support production team with general administrative tasks as needed.

Degree/Diploma and major if applicable:

  • BSc or related qualification in Industrial Engineering, Operations Management, Manufacturing Systems, Business Administration, or a related field.
  • Additional diplomas or certificates in Basic Project Management certification (e.g., CAPM, PMP, or equivalent), BI/Data Analytics tools (e.g., Power BI, Tableau, or Excel Advanced Certification)

Required hands-on, technical or other types of training to perform the job:

  • Familiarity with ERP systems (e.g., Odoo, SAP, Oracle)
  • Understanding of production workflows and manufacturing operations
  • Experience with process documentation platforms (e.g., SystemHUB, Confluence)
  • Proficiency in Microsoft Office Suite, especially Outlook, Excel, Word, PowerPoint and Visio
  • Exposure to BI dashboards and data interpretation tools (Power BI preferred)
PREVIOUS EXPERIENCE NECESSARY TO PERFORM THE JOB:
  • Minimum 2–3 years of experience in a manufacturing or production environment, preferably within the packaging, printing, or industrial sector.
  • Proven experience in workflow management, production reporting, or operations coordination.
  • Experience supporting or working with ERP systems (e.g., Odoo, SAP, or Oracle) in a production or logistics setting.
  • Demonstrated experience in process documentation, SOP creation, or systems standardization initiatives.
  • Ability to work in a fast-paced manufacturing environment against strict deadlines.
