The Production Officer – Warehouse Coordinator/Custodian manages production reporting, staff coordination, and shop floor warehouse activities, ensuring accurate material and product tracking, SAP alignment, and reliable support for daily production targets.

Production Duties

  1. Works with the production manager to report on attendance of all factory staff for payroll.
  2. Works with the production ERP assistant to ratify the production documentation before reporting.
  3. Works with the production ERP assistant to ratify the sign over of products from Holding Shop Floor Warehouse to other warehouses.
  4. Works with Production ERP assistant to maintain the company’s production reporting database.
  5. Works with the production supervisors to ensure tracking of the processing of all goods manufactured and rejects generated straight through to delivery, before reporting into the production database.
  6. Appoints and assigns shop floor warehousing functions to production workers.

 

Warehousing Custodian Duties

  1. Works to ensure that the Shop Floor Warehouses are managed and all transactions into and out of said warehouses are properly executed on time and in full.
  2. Ensure the shop floor warehouses are run securely and efficiently managed physically and in SAP.
  3. Ensure that the production planning & associated production requirements are recorded in SAP and inventory transactions onto the shop floor are requested accurately and on time.
  4. All cycle count reports for shop floor warehouses.
  5. All daily perpetual inventory recording for shop floor warehouse transactions.
  6. Works to always ensure the alignment of shop floor warehouses with SAP.

 

1. Tasks performed in this role will include but are not limited to:

· Monitoring shop floor and related inventory levels at all times to ensure that materials are available to meet production requirements

· Works with purchasing and warehousing to ensure that production materials are always available and suggests timely adjustments to the schedule when necessary.

· Coordination of personnel & resources to meet set production targets.

· Providing quick responses to production inventory related issues.

· Reviewing work orders against the set schedules to ensure that all manufacturing processes are fully sourced.

· Shop floor warehouse inventory management

2. The areas of responsibility will include but not be limited to the following areas:

Safety:

  1. · Maintain a clean and orderly shop floor warehouse to promote a safe work environment and to enable accurate stock counts and audits.
  2. · Notify the Safety Systems Manager immediately if any unsafe or potentially hazardous conditions are discovered.

 

Quality & Food Safety:

  1. · Maintain and demonstrate a thorough understanding of warehousing for materials stored and products manufactured.
  2. · Assists with the product recall exercise’s Backward and Forward tracing process during all Food Safety Audits.
  3. · Perform safety, food safety and quality checks for assigned areas as needed.
  4. · Keeps the shop floor warehouses organized and clean.

Production:

  1. · Deliver on set productivity KPI’s and commitments as advised by the Head of Manufacturing Manager
  2. · Update the Production and Usage Database and generate reports for uploading into SAP
  3. · Assist with production order preparation and provide reports to update same accurately with SAP Business 1.
  4. · Monitor and request goods into the Shop Floor Warehouses to support production and approves/ receives materials from purchasing and warehouse daily. Physically and remotely.
  5. · Ensure product delivery from processing for export and local dispatch. Physically and remotely into SAP.
  6. · Biometric payroll preparation, validation and submission for approval.
  7. · Ensure proper management of ALL Shop Floor Warehouse items on the production floor.
  8. · Suggest and lead continuous improvement projects agreed on by the Head of Manufacturing

 

Sanitation

  1. · Ensure the performance of daily, weekly, monthly cleaning and housekeeping tasks in conjunction with Master Sanitation Schedule provided by Operations Systems Manager.
  2. · Maintain Master Sanitation Schedule and inventory usage logs and reports for assigned areas.
  3. · Ensure sanitation functions are completed in accordance with departmental standards and prescribed cleaning & sanitation plan.

 

Required qualifications & Experience:

· Bachelor’s degree in business administration/ production operations/ warehousing management from a reputable and accredited institution

· 5 CSEC/ CAPE subjects, Must include English, Mathematics & Accounts

· 5 years of experience specifically in the areas of manufacturing – ideally in a bakery/ food manufacturing setting

· Exposure to ISO 9001, SQF & other HACCP food safety operating principles, OSHA guidelines

· PC proficiency with a good working knowledge of the MS Office Suite

· PC proficiency with Microsoft Office – Full Suite

· Highly effective oral and written communication skills

· Conflict resolution experience/ Industrial relations experience

· Forklift Certificate/ Drivers License

· Ability to effectively communicate with and present information to floor staff and management

· Ability to work with mathematical concepts such as probability and statistical inference.

· Familiarity with SAP Business 1 production orders

· Excellent people skills. Ability to motivate and encourage line staff

· Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations

· Ability to define problems, collect data, establish facts and draw valid conclusions

· Ability to develop detailed excel and word spreadsheets along with PowerPoint report presentations

· Communication: Ability to communicate and maintain good working relationships with colleagues and reports. Ability to relay instructions to reports and execute changes through clear instructions.
