We are looking for a highly organized, detail-oriented, and proactive Production Coordinator to join our team. About the Role

We are looking for a highly organized, detail-oriented, and proactive Production Coordinator to join our dynamic creative team.

As the Production Coordinator, you will play a central role in orchestrating the production process across all mediums—digital, broadcast, OOH, print and experiential. You will ensure that all creative deliverables are produced efficiently, on time, within budget, and to the highest quality standards.

You will work closely with our Creative, Art, Account Service, and Media teams, as well as with trusted vendors and freelance talent, to bring ideas to life. Key Responsibilities

  • Project Management: Schedule, track, and manage multiple projects simultaneously, ensuring timely and seamless execution from concept through to delivery.
  • Vendor Coordination: Source, vet, and manage third-party suppliers and freelancers (e.g., printers, animators, production houses, voice talent, etc.), negotiating costs and timelines to ensure maximum value.
  • Estimate & Budgeting: Prepare and revise production estimates based on creative briefs, ensuring approval from the Director of Client Services & Media and alignment with client budgets.
  • Creative Execution: Oversee the production of all creative outputs including digital content, print collateral, OOH campaigns, radio spots, in-store activations, and TVCs.
  • Quality Control: Proof and review creative assets to ensure accuracy, consistency, and compliance with client specifications and brand guidelines.
  • Resource Library Management: Build and maintain a reliable network and library of freelancers, vendors, and specialty suppliers to support diverse client needs.
  • Special Projects: Lead the production of high-impact seasonal or thematic campaigns from ideation to execution.
  • Cross-Functional Communication: Serve as a key liaison between creative, account, and media teams to keep projects moving forward, problem-solve, and ensure alignment.
  • Billing & Documentation: Issue purchase orders, reconcile invoices, and ensure proper documentation and closure of job dockets in coordination with accounting and traffic teams

Qualifications & Skills

  • Must have a Bachelor's Degree in a relevant field of study
  • Project Management Certification is a plus
  • Proven experience (3+ years) in a production coordination or creative project management role (advertising agency or creative agency experience is a plus).
  • Strong understanding of advertising production workflows and print/digital/broadcast processes.
  • Proven ability to manage multiple deadlines, priorities, and stakeholders in a fast-paced environment.
  • Excellent vendor negotiation, budgeting, and time-management skills.
  • Ability to work effectively with cross-functional teams and external partners.
  • Proficiency in budgeting, quoting, and estimating production costs.
  • Effective communicator who can provide clear updates and instructions to all stakeholders.
  • Familiarity with creative production terminology, file formats, and media specs.
  • A collaborative spirit, positive attitude, self-starter with a problem-solving mindset and the ability to handle tight deadlines.
