The incumbent will be responsible for the Purchasing, Logistics & Customs and Warehousing functions to ensure the achievement of the department’s objectives while delivering excellent customer service and maintaining exceptional supplier relationships.

Objective:

The Procurement and Logistics Officer is accountable for the efficient procurement of spares, goods and services from both local and international sources at the right price, quality and quantity and at the right time in a safe and environmentally conscious manner and in accordance with the Company’s Procurement Policies and Procedures. The incumbent will be responsible for the Purchasing, Logistics & Customs and Warehousing functions to ensure the achievement of the department’s objectives while delivering excellent customer service and maintaining exceptional supplier relationships.

 

Responsibilities:

  • Maintains a system for re-ordering spares, critical packaging, raw materials and other materials to ensure that there are no stock outs.
  • Manages the process of converting requisitions into purchase orders in a timely manner while ensuring that proper data is provided on requisitions and purchase orders.
  • Leads the procurement process for spares, products and services and administers contracts for the procurement of services in accordance with the Company’s policies and procedures.
  • Request and evaluate quotations in accordance with the company’s policy and procedures and ensures that the most cost-effective purchases are made considering technical specifications, quality, prices, delivery and payment terms.
  • Engages in negotiations with suppliers and manages supplier relations, ensuring that suppliers are fairly treated and that issues such as late or non-delivery of products, pricing or poor-quality products are resolved in a cordial manner. 
  • Analyzes potential suppliers and conducts routine review of existing suppliers reviewing costs, quality, delivery, and other pertinent factors. 
  • Manages the expeditious delivery and clearance of goods including all logistics and customs related processes.
  • Ensures all incoming goods conform to the quality and specifications detailed in the company’s Purchase Orders, are inspected/tagged with all the relevant receipt details and are properly and securely stored in their designated bin locations. 
  • Notifies suppliers of any short shipments/damaged goods and follows up for replacements or credit notes.
  • Maintain inventory records and keeps track of all inbound and outbound supplies through proper requisitioning, receiving, storing, issuing and gate pass documentation.
  • Manages inventory accuracy through daily cycle counts, periodic physical counts and reconciliation through approved stock adjustments.
  • Evaluates inventory controls to minimize shrinkage and ensures proper security and preservation of all spares with a focus on stock rotation and the first-in first-out principle.
  • Assists management in establishing and implementing cost reduction strategies.
  • Responds in a timely, professional and comprehensive manner to queries by internal and external parties.
  • Be compliant with all warehouse activities.
  • Reception and dispatching of warehouse materials.
  • Replenishment of high rotation and critical materials.
  • Compliance of monthly cycle count.

 

Required Education/Expertise/Skills:

  • Bachelor's degree in Logistics, Administration, Management, Marketing or Engineering field.
  • Proficient in Microsoft Excel.
  • Numerical skills, interpretation and analysis

  • Analytical thinking and reporting skills

  • Adherence to our code of ethics.
  • Preferably knowledge in SAP software.
  • Schedule flexibility.

Required Experience:

  • Minimum 2-3 years of experience in inventory management.
  • Work experience in the Procurement process in an industrial environment.
