VACANCY
Applications are invited for suitably qualified persons to fill the following position at the North-Central Regional Health Authority (NCRHA).
PROCUREMENT ASSISTANT
The incumbent will be responsible for the purchasing of equipment, material supplies at the NCRHA.
Main Responsibilities:
- Review assigned Purchase Requisitions, and ensures the availability of adequate purchase specifications.
- Study suppliers’ catalogues and current market data on varieties, quantities and prices available to determine appropriate products and supply sources.
- Identify appropriate supply sources from an approved vendors list.
- Determine which of the approved vendors should be solicited for quotations or bids.
- Interview and/or negotiates with vendors to guarantee their ability to meet establishments’ requirements for design, performance, cost, quality and delivery of goods.
- Select the most suitable materials, products, services and supply sources and request quotations.
- Evaluate quotations, process Purchase Requisitions and submit to the Purchasing Officer for verification.
- Prepare Purchase Orders for signature and placing with the selected vendor.
- Update the Purchase Order file.
- Monitor the progress of Purchase Orders by contacting the appropriate vendors by mail and/or phone to ensure that goods are shipped as agreed and expedites shipments as required.
- Expedite emergency-type orders from point-of-requisition to point-of-receipt.
- Monitor vendor performance and make appropriate recommendations with respect to vendors’ approved status.
- Ensure that comprehensive and accurate records are kept of all purchases.
- Maintain up-to-date catalogues (product and price listings) on commodities.
- Keep informed of all new supply sources for key materials and services required.
- Perform other related duties as directed by the appropriate organisational relationship.
Minimum Qualifications, Training and Experience:
- Five (5) O’level passes, inclusive of Mathematics and English Language.
- Possess a Level I CIPS certificate.
- Certification in Microsoft Word and Excel
- Knowledge of 6P Dynamics is considered an asset.
* Certificates acquired at foreign universities MUST be supported by certified transcripts as well as evidence that the completed program is accredited in Trinidad and Tobago.
