Payroll and Accounts Clerk

Job Summary:

The Payroll and Accounts Clerk is responsible for performing a range of payroll and accounting duties to support the Finance Department. This role involves preparing and processing payroll, maintaining accurate financial records, reconciling accounts, and ensuring compliance with internal controls and statutory requirements. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Collect, compile, and enter payroll data accurately using payroll software (e.g., EZPay QuickBooks, microplay, HRP5).
  • Process payroll in accordance with company policies and statutory regulations.
  • Calculate and post payroll deductions including taxes, loans, and other withholdings.
  • Update and maintain employee payroll records to reflect changes such as new hires, terminations, promotions, or transfers.
  • Handle employee queries related to salaries, deductions, and other payroll matters.
  • Ensure timely submission of payroll-related reports and statutory payments.
  • Process customer payments (cash, cheques, debit/credit cards) and reconcile daily sales reports.
  • Enter and post general ledger entries, petty cash payments, and accounts payable invoices.
  • Generate and issue cheques in accordance with company procedures.
  • Maintain and reconcile petty cash accounts and prepare monthly cash summaries.
  • Verify accounting data against system-generated reports and correct discrepancies.
  • Assist in month-end closing activities and preparation of financial summaries.
  • Maintain organized filing systems for payroll and financial documents.

Key Skills and Competencies:

  • Knowledge of payroll processing and accounting principles
  • Proficient in Microsoft Excel and accounting/payroll software (e.g., EZPay)
  • Excellent attention to detail and numerical accuracy
  • Strong organizational and time management skills
  • Ability to maintain confidentiality and handle sensitive information
  • Good interpersonal and communication skills

Education and Experience:

  • Minimum of 3 years’ experience in payroll and accounting functions
  • Completion of ACCA Level 1 (or equivalent qualification in Accounting or Finance)
  • Experience in using computerized accounting and payroll systems
