The Payroll Supervisor will play a critical role in assisting with processing client payrolls accurately and efficiently. Additionally, the incumbent will collaborate closely with the Payroll Manager to conduct payroll audits, assist with providing support to a team of Payroll Analysts.

The Payroll Supervisor will play a critical role in assisting with processing client payrolls accurately and efficiently. Additionally, the incumbent will collaborate closely with the Payroll Manager to conduct payroll audits, assist with providing support to a team of Payroll Analysts, ensure compliance with relevant regulations and company standards as well as proactively identify opportunities for process improvements.

The Payroll Supervisor reports to the Payroll Manager

 

DUTIES AND KEY RESPONSIBILITIES

Payroll Processing

• Assist with processing payroll on either a Weekly, Semi-Monthly, Fortnightly and Monthly basis

• Submit completed payroll files to external and internal clients for review and approval

• Provide required documents to financial institutions to ensure accurate and timely updates of employee’s records

• Prepare and provide ad hoc reports as requested by internal and external clients

• Calculate salaries, deductions, and withholdings, including taxes and benefits contributions.

• Collaborate with internal HR and clients’ POC to ensure payroll-related processes are streamlined and efficient

• Preparation of Payroll tax returns for filing on a monthly and yearly basis

• Prepare various payroll-related letters and reports for employees

• Ensure compliance with local payroll regulations and tax laws

• Participate in and or assist with all other payroll-related duties assigned as may be required by the department.

• Attention to Detail and Accuracy

• Maintain accurate payroll records and documentation, including employee payroll files and tax forms

• Maintain calendar for turnover of all statutory and non-statutory deductions on behalf of our clients  

• Complete all payrolls promptly to ensure employees are paid on time

• Maintain designated payroll accuracy rate across all client payrolls

• Maintain payroll information by collecting, calculating, and entering data into payroll software including employee status changes, health insurance premiums, bank account updates and voluntary deductions

• Conduct and or assist with testing of various payroll applications

• Participate in payroll projects as needed.

 

Client Relationship Management

• Communicate payroll discrepancies to the relevant persons and resolve them promptly

• Respond with accurate information to internal and external clients’ queries providing excellent customer service

• Maintain a professional relationship with clients, their employees and internal staff.

• Participate in in-take calls and client training sessions Auditing and Team Support

• Analyze payroll data to validate payroll calculations, identify, investigate and fix discrepancies and errors

• Reconcile payroll data

• Proactively identify opportunities to streamline payroll processes and make recommendations to enhance existing payroll procedures and improve efficiency.

• Identify trends, and anomalies, and recommend areas for improvement.

• Create and update audit documents, payroll blueprints and other instructional materials

• Provide guidance and support to members of the payroll team as needed.

• Collaborate with team members to ensure smooth and efficient payroll operations

• Generate payroll metrics and reports on a monthly basis

• Assist the Payroll Manager with ongoing coaching, training, and mentorship to team members.

• Address performance issues promptly and fairly, in accordance with company policies and procedures

• Act as a back-up for Sr. Payroll Analysts and Payroll Manager as needed

• Collaborate with the Payroll Manager to frequently conduct live and post-payroll audits on assigned payroll to ensure accuracy and compliance with regulatory requirements as well as internal audit procedures.

• Payroll Expertise: In-depth knowledge of payroll processing principles, including tax regulations, payroll labour standards, and payroll best practices.

• Attention to Detail: Exceptional attention to detail and accuracy in processing payroll data and conducting audits.

• Communication Skills: Strong interpersonal and communication skills, with the ability to effectively communicate with clients and team members.

• Problem-Solving Ability: Proven ability to identify and resolve payroll-related issues and discrepancies in a timely and efficient manner.

• Organizational Skills: Excellent organizational skills and the ability to manage multiple tasks and priorities effectively in a fast-paced environment.

• Analytical Skills: Strong analytical skills, with the ability to analyze payroll data, identify trends, and make data-driven recommendations for process improvements.

• Team Player: Ability to work collaboratively as part of a team and provide support to colleagues as needed.

• Integrity: High level of integrity and professionalism, with a commitment to maintaining confidentiality and adhering to ethical standards in handling payroll information.

QUALIFICATIONS

• Bachelor’s degree in Accounting, Finance, Business Administration, or similar discipline

• Previous experience in payroll processing or payroll administration with at least 2 years of experience in a supervisory or lead role.

• Strong understanding of local payroll regulations, taxation standards, and compliance requirements.
