Reporting to the Payroll Manager, the Payroll Officer is responsible for ensuring the timely and accurate preparation and payment of Salaries and other related payments in accordance with established policies and procedures.
QUALIFICATION & EXPERIENCE:
ü NVQ-J Level 3 Certification or AAT Certification or equivalent
ü At least two (2) years’ relevant experience in a comparable position and business environment/industry such as: a Higher Education Institution, a Public Body, a Financial Institution, and/or Accounting Firm
KEY COMPETENCIES:
ü Good Analytical skills
ü Good knowledge of Payroll-related Software
ü Good knowledge of Statutory and Income Tax Legislations
KEY DUTIES:
ü Processes requests and adjusts Payroll in accordance with established guidelines
ü Computes and enters information for assigned locations to the Human Resource Management Information Systems (HRMIS) in keeping with supporting documents and ensuring correct codes are assigned
ü Checks and correct Payrolls, and forward to the Supervisor for verification; thereafter, re-prints Payroll Register and reports for the Manager’s pre-approval
ü Processes final payments for separated employees in keeping with supporting documents for approval by the Supervisor
ü Prepares Journal Vouchers as required for approval by the Supervisor
ü Processes third-party deductions and prepares cheques for respective companies for approval by the Supervisor
ü Prepares Statutory payments for approval by the Supervisor
ü Prints and distributes to employees Annual P24 and C7 reports after approval by the Supervisor
ü Provides information to staff on salary related matters and prepares P45/P24/C7 Certificates and other routine information as required
ü Maintains integrity and security of Payroll Systems, documents and assets
ü Prepares Pension Report and ensures final computation is in balance with the Payroll Registers
ü Processes Bank Reject cheques as required
ü Records all Cheques used
ü Processes Staff Census reports in compliance with the Payroll Registers
ü Prepares the Electronic Cheque listings for dissemination to the Finance Department to include all cheques generated for the month
ü Prepares the Payroll Summary, Bank Transfers, Cheques, and Cheque Listings for dissemination to the Finance Department
ü Prepares the Payroll Summary, Bank Transfers, Cheques, and Cheque Listings and all other related reports (Net Pay Listing) for dissemination to the Finance Department
ü Assists in the preparation of the Process Maps and Workflow diagrams, where required, using appropriate Diagramming Application Software in keeping with established format
