The role will engage in conducting legal research, gathering relevant information, and analyzing data to support the Senior Legal Officer's work.

JOB PURPOSE

 

Under the direct supervision of the Senior Legal Officer, the incumbent is responsible for providing comprehensive administrative and secretarial support to ensure the smooth functioning of the Senior Legal Officer's office.

 

Key Responsibilities

 

  • Maintain unit files and records;
  • Type all necessary correspondence for dispatch;
  • Compose letters and memos based on general instructions;
  • Photocopy, dispatch, and scan documents as necessary;
  • Record all incoming and outgoing correspondences accurately;
  • Aid in designing and maintaining an effective filing system;
  • Request, retrieve, and return files to the Registry;
  • Request and monitor stationary, office supplies, other materials, and equipment to ensure smooth operation of the unit;
  • Schedule and coordinate regular meetings for the Unit;
  • Prepare Agendas and Action Plans for meetings;
  • Record & transcribe minutes of meetings;
  • Prepare letters and memos as directed; and
  • Manage/monitor attendance and punctuality records.
  • Conduct legal research, gathering relevant information, and analyzing data to support the Senior Legal Officer's work.
  • Assist in reviewing legal documents for accuracy and completeness.
  • Assist in drafting legal correspondence, memos, reports and other legal documents.
  • Prepare legal documents for review and submission.
  • Support the administration of contracts and agreements.
  • Assist in the preparation for legal hearings and consultations where necessary.
  • Liaise with external legal counsel and other stakeholders when necessary.
  • Assist in ensuring compliance with relevant laws and regulations.
  • Monitor legal developments and informing the Senior Legal Officer of any changes.
    • Any other related duty that may be assigned from time to time.

 

 

Qualification and Training

 

  • A Bachelor’s Degree from a recognized institution in the disciplines of Management Studies, Business Administration, Public Policy, Public Administration or related discipline.
  • Paralegal training would be an asset
