Job Summary:

The Payroll/Accounting Assistant is primarily responsible for the timely and accurate preparing, processing and maintaining of multiple payroll records. Maintains payroll work calendar, ensuring the timely payment and reporting of payroll deductions and pay. Acts as liaison to internal departments to provide guidance, build working relationships, and resolve escalated issues. 

Job Responsibilities: 

  • Processes payroll for various pay groups, including calculating hours paid and overtime, inputting information into the payroll system, uploading payroll for approval and generating the appropriate payslips.
  • Performs a variety of clerical tasks for payroll processing; utilizes computer software, including word processing, spreadsheets, and databases to prepare letters and documents; performs filing, copying, and archiving records per payroll schedule.
  • Ensures all payroll related activities are processed accurately and in time for the payroll runs.
  •  Ensures employee benefit and all other deductions are made, and payments are   dispersed to the institutions in a timely manner.
  • Where assigned, calculates all payments adjustments as required including back pay, leave balances, bonuses, severances and ex-gratia payments.
  • Reviews payroll forms submitted for accuracy, tracking incomplete or missing forms and follows up as appropriate.
  • Performs data entry and verifies data entered electronic filing systems. Supports payroll reviews for quality and accuracy, including financial reconciliations.
  • Ensures that all employee data is complete within the payroll processing system including statutory file numbers for all employees.
  • Assist with annual BOM reviews and make required updates or adjustments if necessary.
  • Perform monthly variance analysis of Standard vs Actual production costs.
  • Assists in the production of statutory and management reports appropriate to the Company’s requirements.
  • Monitors and adheres to changes to payroll statutory requirements and prepares reports and payments for all Company and Statutory reporting obligations.
  • Supports the accurate processing and reporting of employee payroll, maintenance of payroll records, reporting and payment of statutory and employee benefits, accruals and balances, and investigation and resolution of payroll issues.
  • Provide all information as required by auditors whether internal, external, governmental or any other.
  • Complies with legal requirements by keeping abreast of existing and new legislation; enforcing adherence to requirements; advising management on needed actions. 

Position Requirements: 

  • Associate Degree (or equivalent) in Accounting, Finance, Administration, or related area.
  • Knowledge of payroll processing including Trinidad and Tobago statutory obligations.
  • A minimum of 3 years' experience related to area of assignment.
  • Ability to use an ERP Software for payroll processing.
