The Operations, Projects and Systems Officer coordinates projects, oversees business systems and supports the management of day-to-day operations across the business divisions of the United Church Mission Enterprise.
RESPONSIBILITIES AND DUTIES
The Operations, Projects and Systems Officer will have primary responsibility for:
Oversee day-to-day operational activities to ensure the smooth functioning of all business units.
Monitor and evaluate workflows to identify inefficiencies and implement process improvements.
Conduct quarterly operational audits of the Interment Management System (IMS) to ensure compliance, data accuracy, and optimal usage by staff and Funeral Homes.
Archive and maintain operational data in accordance with the Data Archiving Policy.
Prepare and submit monthly operational and performance reports to management.
Manage and optimize use of business systems (IMS, Sagicor payment portal, security systems, etc.) to support service delivery.
Coordinate with vendors and service providers to maintain functionality of operational systems and office infrastructure.
Ensure timely renewal of insurance policies and other operational contracts.
Oversee procurement and inventory of office equipment and supplies to ensure cost efficiency and availability.
Provide operational training and guidance to new and existing employees to ensure adherence to standard operating procedures (SOPs).
Support and supervise customer service employees in the absence of managers to maintain operational continuity.
Coordinate internal training programmes to strengthen system and operational competencies.
Investigate and resolve operational or customer service issues, ensuring corrective actions are documented and implemented.
Monitor and verify online payments to ensure accuracy and timely reconciliation.
Communicate service interruptions or operational changes to relevant stakeholders promptly.
