The Operations Assistant will support daily operational activities to ensure smooth workflow and excellent customer service.

The Operations Assistant will support daily operational activities to ensure smooth workflow and excellent customer service. This individual will handle filing and documentation, collaborate with various teams including front desk and IT, manage cashier duties, and assists in processing sales orders and goods handling. They also provide relief coverage for the front desk agent as needed.

Key Responsibilities:

  • Document Management:
    • File customer invoices, receipts and related documents accurately and promptly.
    • Maintain organized records for easy retrieval and audit purposes.
  • Sales Order Processing:
    • Work closely with the front desk agent to process sales orders efficiently.
    • Assist in verifying order details and ensuring timely completion.
  • Cashier Duties:
    • Perform cashier responsibilities including receiving payments and issuing receipts.
    • Ensure accurate cash handling.
  • Customer Service:
    • Answer incoming telephone calls professionally and direct them appropriately.
    • Deal directly with customers purchasing goods, providing product information and assistance as needed.
  • Front Desk Relief:
    • Provide coverage and support by relieving the front desk agent during absences or busy periods.
    • Handle front desk responsibilities including greeting visitors, managing inquiries, and administrative tasks.
  • Catalog Maintenance:
    • Collaborate with IT personnel to update and maintain the product catalog.
    • Ensure product information is current and accurately reflected in the system.
  • Delivery Coordination:
    • Assist in checking off goods prepared for delivery to ensure accuracy and completeness.
  • Returns and Repairs Assistance:
    • Support processes for returned goods, including Goods Returned Authorization (GRA) Forms.
    • Assist with Worksite goods that require repair, facilitating communication and documentation.
  • Other Duties:
    • Perform additional tasks assigned to support operations and improve efficiency.

Skills:

  • Good organizational and filing skills.
  • Basic cashiering and cash handling experience.
  • Strong communication and customer service abilities.
  • Ability to work collaboratively with different departments.
  • Basic computer skills, including familiarity with catalog or inventory management systems.
  • Attention to detail and accuracy.
  • Ability to manage front desk responsibilities when required.

Working Conditions:

  • Office environment with some interaction in warehouse and delivery areas.
  • May require occasional lifting or handling of goods.
