The Operations Administrator will provide essential administrative support to the Operations Department, ensuring smooth daily operations and efficient coordination of tasks.

JOB PURPOSE:

The incumbent will provide essential administrative and operational support to ensure the smooth and efficient functioning of daily business activities. Reporting directly to the Operations Manager, this role involves coordinating logistical processes, managing documentation, and assisting in the implementation of operational strategies. The Operations Administrator helps streamline workflows, facilitate communication across departments, and ensure compliance with organizational policies. By maintaining accurate records and supporting operational initiatives, the role contributes to enhancing overall organizational productivity and effectiveness.

KEY RESPONSIBILITIES:

  • Maintain filing systems (digital and physical) for operations documents, invoices, and reports.
  • Prepare and circulate meeting agendas, minutes, and follow-up action points.
  • Manage office supplies, stationery, and operational forms.
  • Assist with scheduling appointments, meetings, and staff rosters.
  • Input and update data in company systems (ERP, spreadsheets, trackers).
  • Maintain accurate records of inventory movements, requisitions, and vendor information.
  • Assist with preparing basic operational reports for supervisors.
  • Support the processing of purchase orders, invoices, and requisitions.
  • Liaise with suppliers, vendors, and internal departments for documentation and follow-ups.
  • Monitor simple KPIs and flag issues to the Operations Supervisor/Manager.
  • Assist in coordinating logistics and deliveries as needed.
  •  Handle incoming calls, emails, and correspondence related to operations.
  •  Ensure filing, scanning, and archiving of documents is up to date.
  •  Provide general support to the operations team in day-to-day activities.
QUALIFICATIONS & EXPERIENCE:
  • Associate’s degree or Diploma in Business Administration, Management, or related field (Bachelor’s degree is an asset).
  • 1–2 years’ experience in administration, clerical work, or operations support (internship experience accepted).
  • Proficiency in Microsoft Office (Excel, Word, Outlook) — familiarity with ERP systems is an advantage.
  • Strong organizational and time management skills.
  • Good communication skills, both written and verbal.
