As a driven administrative professional, the Office Manager in Guyana will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability. As an Administrative and Workplace Services supervisor, you will be responsible for the leadership and execution of daily administrative tasks and facilities related task within the office.

The selected candidate will be responsible for the smooth operation of our Guyana site and support our employees, customers and business partners with innovative facility services. In our team, you will take on a variety of tasks but not be limited to the following:

• Property and Facilities Management: Oversee maintenance and improvements of office space, drive facility knowledge, effectively manage costs and look for opportunities to reduce costs
• Office Security & Safety: Assist with office security matters, lead the occupational safety and environmental management and participate in local emergency response teams & initiatives
• Finance Administration: Identify and optimize potential in facility management services and manage the billing process to external suppliers (including rent, electricity, janitorial services, catering etc)

• Procurement of Office Supplies: Manage the procurement of all office necessities, ensuring cost-effectiveness and timely availability of resources.
• Custodian of Firm Assets: Oversee the management and safeguarding of firm assets, while ensuring secure storage for firm records.

• Project/Committee Work: Participate in the implementation of conversions and new and innovative workplace concepts
• Relationship management: building relationships within EY Caribbean and with external stakeholders regarding facility and office support
• Travel Management: Oversee all travel related arrangements for office personnel.

• Courier and RFP Management: Coordinate the dropping off of physical RFPs to tender boxes and manage courier services.

• Ad hoc duties as needed

 Requirements

• Completed commercial or technical studies, ideally with a focus on facility management or equivalent training in the real estate industry
• Experience in personnel management, project management and the control of service providers
• Good knowledge of contract management and tendering and awarding processes for facility services

• Ability to manage multiple tasks in a fast-paced environment
• Several years of supervisory experience in a professional environment will be an asset
