This position is responsible for assuring superior customer service to all the Association members and successful operations of the front office. This position performs a wide variety of administrative support functions with minimum guidance, frequently in a confidential fashion.

Job Purpose

This position is responsible for assuring superior customer service to all the Association members and successful operations of the front office. This position performs a wide variety of administrative support functions with minimum guidance, frequently in a confidential fashion. Incumbent will act as the central point of contact for all the Association’s members therefore will play a primary role in promoting a professional image and valued reputation.

Duties and Responsibilities

  • Answers phone, assists members with questions, aids in problem solving, and addresses concerns promptly and effectively
  • Assists with new member application within the stipulated time frame
  • Coordinates new member package upon joining the Association regarding the dissemination of RAJ policies, and establishing website and MLS access
  • Coordinates attendance of new member orientation and ensures proper dissemination of materials
  • Assists in maintaining an accurate member data base and promptly records all additions, changes, and deletions
  • Inputs all new members into the database system(s) and develop monthly reports of new, returning and terminated members for Executive Director and Board of Directors’ review
  • Accepts evidence of payments, record receipts and update Accounting Software records
  • Assists with general membership functions
  • Maintains accurate database of member services and providers as may be introduced from time to time
  • Assists with preparation and dissemination of correspondence as and when required
  • Supports the Association’s efforts to adhere to NAR’s Core Standards
  • Any other related duties as may be assigned from time to time

Education, Experience & Skills

  • Bachelors Degree in Business Administration or related area
  • At least two (2) years in similar position
  • Strong knowledge of Real Estate business (preferred)
  • Good research and decision-making skills
  • Excellent customer service and administrative Skills
  • Excellent time and organizational management skills
  • Strong oral and written communication skills
  • Good networking, teamwork and interpersonal skills
  • Strong knowledge of Accounting software applications including Microsoft Suite
  • Ability to work on own initiative
  • Detail oriented and highly confidential
  • Energetic and high level of integrity

Working conditions

General office environment - work involves sitting for long periods of time; walking, talking and limited climbing of stairs; occasionally the lifting of materials.  The incumbent may be required from time to time, to work outside normal working hours and on weekends based on the exigencies of the Association. Some travelling locally in and out of town will be required from time to time.
