The Events & meetings Planning Officer will be responsible for participating in the development and execution of in-person and virtual programs that support stakeholder and firm objectives.
Overview:
KPMG Jamaica's delivery center, Jamaica Extended Support Services (JESS), is seeking a Meeting Services Coordinator. This role involves collaborating with KPMG United States to support the development and execution of in-person, hybrid, and virtual programs and events using various event-related technology tools and platforms.
Key Responsibilities:
- Process cross-checks of data across Cvent, Focus, and Housing platforms to ensure accuracy.
- Manage the Program Delivery Support Mailbox.
- Facilitate reservation and travel communications, edit as required, and manage deadlines.
- Upload participant lists into Cvent and manage attendee needs.
- Support the Meetings on Demand program with process, timelines, and expectations.
- Review reports related to room attrition, reservation due dates, and departures.
- Manage deliverables for fare cap approvals.
- Handle program requests and inquiries via the program delivery mailbox.
- Act as MSA for internal programs with fewer than 50 registrants, managing up to two programs per month.
Stakeholder Relationship Management:
- Proactively identify and escalate issues.
- Cultivate productive relationships with the Client.
- Communicate effectively with the Client to understand changes to departmental processes.
Qualifications:
- Minimum of 3 years of work experience, preferably within an events and meetings team or professional services firm.
- Bachelor’s degree or equivalent work experience.
- Strong communication, problem-solving, and organizational skills.
- Experience with event management systems (Cvent) and event registration is a plus.
- Proficient in Microsoft Office Suite applications (Word, Excel, PowerPoint, Outlook).
