Job Summary

The Logistics, Marketing & Ground Transportation Coordinator is responsible for providing high-level support across logistics, sales and marketing initiatives, and ground transportation services. This role works closely with Directors and Senior Management to ensure seamless operations, exceptional client service, and efficient coordination with vendors and stakeholders. The successful candidate will demonstrate strong organizational and interpersonal skills, ensuring that the Company’s logistics and marketing objectives are executed effectively while upholding a professional image.

The jobholder must possess a deep understanding of the Company’s services, operational objectives, and key stakeholders, both internal and external. The role demands an individual who is proactive, detail-oriented, and capable of managing multiple tasks in a dynamic environment.

Primary Responsibilities

Marketing & Sales

  • Actively promote the Company’s full suite of services including consolidation, warehousing, customs brokerage, vessel agency, and chandlery.
  • Drive revenue generation by targeting prospective clients and securing new shipments and general business.
  • Conduct market research and background analysis on new and existing clients to support business development efforts.
  • Manage client outreach through calls, emails, and in-person meetings to foster meaningful relationships and ensure client satisfaction.
  • Deliver professional and timely customer service while responding to all inquiries and quotations within 24 hours.
  • Generate accurate and comprehensive quotations using the Company’s official quotation format.
  • Follow up on all pending quotations and strive to close bookings to achieve a monthly sales target of TT$30,000.
  • Maintain proper documentation and approval for all quotations prior to shipment booking.
  • Contribute to sales and marketing projects, including identifying new business opportunities and market segments.

Logistics & Vessel Operations

  • Support all aspects of vessel operations, ensuring timelines and SOPs are followed.
  • Prepare and maintain vessel files, service records, and maritime entries at least 48 hours before vessel arrival.
  • Document all services provided to vessels and obtain vendor invoices promptly upon completion.
  • Track and document ground transportation logistics including hotel stays, taxi trips, meals, and launch boat trips using the designated Excel format.
  • Manage the clearance and documentation of ship spares, ensuring proper cost tracking and verification.

Administrative Support

  • Handle all incoming communication professionally, including calls, emails, and in-person inquiries.
  • Maintain organized office systems, client records, and confidential files.
  • Coordinate travel, accommodation, and visa arrangements as required by Directors or management.
  • Schedule and manage diaries, appointments, and meetings; prepare meeting minutes and relevant materials.
  • Assist with the preparation of reports including service failure, near-miss, and incident summaries.
  • Ensure strict confidentiality of client and operational information at all times.
  • Support the accounts team with information relevant to budgets and expenditures.

Ad-Hoc Duties

  • Uphold the Company’s brand image and deliver service excellence in all interactions.
  • Participate in initiatives to grow the Company’s market share and improve customer satisfaction.
  • Continuously promote the Company’s services and identify upselling opportunities with existing clients.
  • Maintain a professional demeanor and appearance at all times.
  • Perform any other duties as assigned by Management.

Qualifications and Experience

  • Diploma in Logistics, Marketing, or Business Management.
  • Minimum of five (5) CXC/GCE O-Level passes including Mathematics and English (Grades I–III or A–C).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • A first degree in a related field will be considered an asset.
  • Minimum of three (3) years’ experience in logistics, marketing, or a related field.

  • Excellent customer service and problem-solving abilities.
  • Highly organized, analytical, and self-motivated.

  • Skilled in the use of office and business equipment.
