Job Summary

The Maintenance Administrative Technician will support the Manager/Director in the management of the department’s inventory management/controls initiative through real time reporting. The incumbent will also execute the department’s administrative functions.

Responsibilities

  • Procure inventory (parts & lubricants) for the department through the HOD and ensure its receival according to the invoice/purchase order
  • Prepare invoices for payment of suppliers or third-party service providers
  • Issuance of equipment parts and lubricants in accordance with company policy
  • Record daily the issuance and receival data of parts and lubricants for posting to internal database system
  • Monitor inventory (parts & lubricants) levels for all site operations to ensure operational efficiency
  • Maintain an accurate reporting mechanism for tools and equipment within the department
  • Monitor the uploading of data from equipment service reports (job cards) into the internal inventory management database.
  • Schedule preventative maintenance for all equipment in accordance with company policies
  • Oversees and coaches the junior staff’s data entry to ensure the stipulated data is uploaded immediately to support real-time data.
  • Assist with coordination the pickup and drop off of goods and materials for various projects by way of schedules for bearers
  • Undertake stock taking initiatives (cycle counts)
  • Investigate stock variances and report findings
  • Prepare and submit fortnightly and monthly timesheets for department’s payroll


Candidates must have the following:

  • Associate or Bachelor’s Degree in Logistics or Business Administration
  • Knowledge of Automotive Parts and Lubricants
  • At least 2 years inventory/warehouse experience
  • Must work well under pressure and bale to multitask to meet deadlines
  • Expert knowledge of computer applicants, including Microsoft Office suite
  • Knowledge of HVI Maintenance Software is a plus
  • Exceptional attention to detail
  • Good oral and written communication skills
  • Effective report writing skills
  • Prior work experience in the construction industry is a plus
