About the Role:

The Maintenance Administrative Assistant supports the Facilities, Maintenance & Safety Department by managing maintenance records, coordinating preventive and corrective work, and ensuring clear communication between the maintenance team and stakeholders. This role is critical in driving operational efficiency through effective scheduling, documentation, and follow-up.

Key Functions

  • Provide day-to-day administrative support to the Facilities Maintenance & Safety Manager and Maintenance Team.
  • Coordinate preventive and corrective maintenance schedules and follow up to ensure timely completion.
  • Manage maintenance help desk inquiries and route requests appropriately.
  • Prepare and track correspondence with vendors, restaurant teams, and internal departments.
  • Schedule meetings, prepare agendas, record minutes, and track action items.
  • Maintain organized records of maintenance documents, reports, and compliance files.
  • Track departmental expenses, petty cash, and support basic financial reporting.
  • Coordinate fixed asset records, inventory counts, and asset movements in compliance with company policies.
  • Liaise with internal and external stakeholders to facilitate approvals and site access for maintenance work.
  • Support inventory documentation, stock coordination, and provide backup administrative support as required.

Qualifications & Experience: 

 

  • Administrative certification or an Associate Degree in Business Administration is highly desirable
  • Minimum high school diploma or equivalent
  • 1 – 2 years’ experience in administrative work
  • Proficiency in Microsoft Office Suite
