SALARY SCALE: $5,612,841.27 - $6,418,683.77 per annum.
JOB SUMMARY:
This position provides a range of administrative and marketing communications support services for the department to ensure operational efficiency, by coordinating supplier engagement and management, media coverage and inquiries, in addition to liaison with various stakeholders regarding PAJ’s programmes, projects, events and activities.
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree in Communications, Marketing, Media, Public Relations or equivalent specialist qualification.
- Five (5) years’ experience in a Marketing & Communications environment in a medium to large sized entity within the public or private sector.
- Familiarity with GOJ Procurement, Policy Guidelines and Procedures.
DUTIES & RESPONSIBILITIES:
- Liaise with the Procurement department to ensure the timely supply of goods and services in accordance with the policies and guidelines established by the organization.
- Provide administrative support to the department, including the management of manual and electronic records, database, and drives, drafting, and preparing correspondence, reports, press releases and other documents.
- Develop, maintain and manage a budget tracking system with monthly and quarterly YTD expenditure reports.
- Prepare documentations (cheque requisitions, budget control forms, RFPs, budgets, scope of work and terms of reference) relevant to prospective suppliers of various services, in accordance with the organization’s procedures.
- Establish and maintain the department’s manual and electronic records management systems, data bases and drives to include supplier contracts, framework agreements and other types of engagements, purchase orders, payments as well as memos, circulars, reports and correspondences.
- Draft and develop written communications including messages, copy for brochures and other marketing and promotional collateral, correspondences, media advisories and releases.
- Disseminate approved media advisories and media releases
- Schedule and coordinate meetings, site visits, and or similar activities for the department. This includes preparing all related materials, recording meeting notes & action items, and disseminating meeting links/requests.
- Ensure the timely payment of suppliers by maintaining a budget tracking system and by liaising with the supplier, Procurement and Finance in providing timely updates.
- Facilitate media buy and placements.
- Maintain and update clippings book, and digital content database.
- Manage and refer all client inquiries, in a manner consistent with the organization’s policy.
- Maintain contact listing of all stakeholders, media partners and suppliers.
- Sort, screen, review and distribute incoming and outgoing correspondences; compose, prepare, or ensure timely responses to a variety of routine written inquiries.
- Inventory management of promotional items.
- Screening, assisting, executing and disseminating official sponsorship requests in conjunction with the PAJ’s donation committee.
- Organizing travel arrangements for the department’s officers.
- Any other duties assigned.
