As the Logistics and Procurement Leader you will be responsible for preparing documents for the import and export of the company's products, coordinating logistics activities, and handling local purchases as required by the Central procurement manager and Plant manager. Some of the role responsibilities are technically reported to the Central procurement manager but the role reports directly to the plant manager only.

Essential Functions

  • Importation and exportation of equipment, each with a distinct process.
  • Translation of invoices related to import/export from English to Spanish and/or Spanish to English.
  • Tracking of land, air, and sea imports/exports with suppliers.
  • Requesting information from suppliers regarding the origin of the cargo.
  • Maintaining records and control of all documentation related to import and export.
  • Logistics and tracking of the timely and proper delivery of international purchases.
  • Monitoring and tracking of delivery evidence (customs and warehouse arrival).
  • Following up on the invoicing process with customs service providers.
  • Handling required customs procedures for the entry and exit of materials in compliance with customs laws.
  • Compiling import and export files to ensure compliance with legal requirements.
  • Documentation related to Import/Export for Governmental entities such as SEFIN, BCH, and DARA.
  • Preparation of dispensations.
  • Monitoring and control of dispensation resolutions.
  • Preparation of periodic or special reports related to Import/Export activities.
  • Processing bank guarantees when necessary.
  • Preparation of local purchases in the SEFIN system when required.
  • Preparation of end-of-month reports for SEFIN when required.
  • Read and apply company policies.

Other Responsibilities

  • Handling employee funds.
  • Preparation, coordination, and reservations of events for staff activities (annual meetings and birthdays) when required.
  • Visit reservations at local hotels when required.
  • Coordination of meals for visitors when required.
  • Coordination of transportation for visits when required.
  • Provision of snacks for visitors in the control room area when required.
  • Sale and management of totes for the Employee Fund when required.

PRIMARY PROCUREMENT FUNCTIONS

•             The following are activities under the Central Procurement Responsibility and should be coordinated with the Central procurement manager.

•             Handling local purchase requests.

•             Manage the entry of requisitions to SAP SYSTEM.

•             Managing relationships with local suppliers, quotations, and payment status.

•             Requesting and preparing requisitions for local purchases (e.g., rentals, furniture, and other items).

•             Preparation and tracking of annual purchase orders.

•             Completion of credit applications when required.

•             Sharing signed goods receipt with suppliers for the delivery of original invoices.

Education, Experience and Skills

  • Degree in industrial engineering, bachelor's in administration, or related fields.
  • At least 2 years of experience in similar positions.
  • Advanced proficiency in office software (Excel, Word, PowerPoint).
  • Advanced English language proficiency.
  • Proactive, with leadership, autonomy, negotiation skills, and planning and organizational capabilities.

Physical Requirements

  • In the office: walking and standing 20% of the time, sitting 75% of the time.
  • Ability to stand, walk, and sit for various amounts of time associated with travel.
  • The use of personal protective equipment must be used when performing certain activities.
