Description of Job
The Logistics & Inventory Operations Coordinator is responsible for the end-to-end efficiency of the warehouse, inventory, and dispatch systems. This role serves as the central point of coordination between production output and store delivery by overseeing warehouse personnel and data entry clerks to ensure 100% accuracy within the Oracle inventory management system.
Key Responsibilities
Inventory & Systems Coordination
Maintain 100% integrity of the Oracle/SMS inventory systems, ensuring system records mirror physical stock at all times.
Coordinate the end-of-shift count process (including overnight verification) to ensure accurate data for store allocations.
Investigate and reconcile any discrepancies between production output, physical inventory, and final distribution.
Warehouse & Dispatch Oversight
Maintain a structured, lean, and highly organized warehouse environment with clear labeling and FIFO (First-In-First-Out) rotation.
Verify the dispatch of all finished goods against the daily production plan, ensuring the correct SKUs reach the South, East, and West routes.
Supervise warehouse staff and data entry clerks, ensuring all administrative charges and delivery documents are completed by the designed dispatch deadline.
Operational Liaison & Compliance
Monitor departmental attendance and punctuality trends; ensure supervisors escalate HR-related cases within 24 hours.
Act as the lead coordinator for Facilities, tracking the schedule and completion of preventative maintenance for all kitchen and warehouse equipment.
Proactively identify bottlenecks in the warehouse flow and implement solutions to prevent dispatch delays.
Inventory Variance: Maintain a variance of less than 2% between physical counts and Oracle system records.
Dispatch Accuracy: 100% alignment between the production plan and outbound store shipments.
Fulfillment Rate: Ensure zero "out of stocks" due to internal inventory mismanagement or replenishment delays.
Maintenance Compliance: 100% on-time completion rate for scheduled preventative maintenance tasks.
Administrative Turnaround: Ensure all store charges and driver manifests are printed and ready by 6:00 AM daily.

Operational Awareness: The ability to anticipate logistical hurdles before they affect dispatch.
System Proficiency: Strong capability to use data from Oracle/SMS to make informed stock-level decisions.
Proactive Troubleshooting: A hands-on approach to resolving inventory gaps and holding the floor team accountable to SOPs.
Effective Communication: Ability to move seamlessly between communicating with warehouse staff, senior leadership, and external departments like HR and Facilities.
