Reports To: Logistics & Administration Manager - Barbados

Job Description     

The Logistics Coordinator is primarily responsible for managing the receipt of shipments and playing a pivotal role in the supply chain's inbound logistics. This position entails ensuring the efficient and cost-effective arrival of goods, coordinating the scheduling of incoming shipments, and maintaining smooth operations within the supply chain.

Essential Functions          

  1. Collaborate with brokers and shipping companies to secure optimal routes and rates for an efficient supply chain.
  2. Validate inventory in system reconciling against supplier invoices and or packing list, reporting any discrepancies to the Buying Team. Further, creates internal transfers in system for Operations Team to cross-check received inventory against.
  3. Prepare and coordinate all shipping documentation to ensure efficient customs clearance including preparing load lists, providing supplier invoices, generating commercial invoices, providing bill of ladings, airway bills and other documentation.
  4. Ensure all invoices and costs in the supply chain are booked and monitored for payment including setting up all costs in inventory management system for landed cost calculations. Further prepares cheques for authorization and arranges couriers for delivery.
  5. Ensure all processes are followed in order to minimize cost and avoid penalties and demurrage.
  6. Communicate with Operation Team on incoming shipments and overtime bookings. Further communicate with buying teams on estimated time of arrivals, loading schedules etc.
  7. Processes insurance for shipments and process claims for damaged cargo when applicable.
  8. Generate margin checks and distribute them to the Buying Team.
  9. Responsible for the day-to-day office operations including maintaining adequate supplies of stationery, office and warehouse supplies, courier services, and other administrative tasks as required.
  10. Additional tasks that may be reasonably assigned within the scope of the position.

Requirements        

  1. Bachelor’s degree in Logistics and Supply Chain or other related discipline.
  2. 3+ years work experience in Logistics or Supply Chain Management.
  3. Highly organized and driven to get the job done.
  4. Effective time management skills to handle multiple tasks, prioritize responsibilities, and meet tight deadlines.
  5. Possesses strong negotiation skills to optimize costs.
  6. Agile with computers, high level of competency with Microsoft Office including Excel.
