Detail-oriented and proactive person to manage the end-to-end supply chain operations, procurement, logistics and inventory control ensuring timely and cost-effective acquisition and delivery of goods and services while maintaining compliance with company policies.

We are seeking a detail-oriented and proactive Logistic and Supply Chain Coordinator to manage the end-to-end supply chain operations, including procurement, logistics and inventory control. This role ensures timely and cost-effective acquisition and delivery of goods and services while maintaining compliance with company policies. The candidate will contribute towards improving procedures, building supply chain relationships and ensure we capitalize on cost saving opportunities. This position reports directly to the Financial Controller.

 

CORE RESPONSIBILITIES:

  • Prepare for authorization, all purchase orders (PO’s) derived from forecasting results, supplier quotes and stock checks.
  • Preparation of all import and export documentation required for shipping and customs clearance. 
  • Coordinate inbound and outbound shipments and coordinate with the brokers to ensuring timely delivery and receipt of goods.
  • Manage transportation logistics, including freight forwarding and customs clearance to optimize shipping routes and methods to reduce costs and improve efficiency.
  • Track shipments and resolve any issues related to delays or damages.
  • Maintain accurate records of all imports and exports shipments.
  • Prepare reports on procurement and logistics performance.
  • Negotiate prices with all suppliers, based on past pricing as well as reviewing and track market trends.
  • Liaise with the Customs officer and ensure all documents are prepared in advance of their visit to aid in swift customs clearance.  
  • Ensure documentation are passed to Accounts Payable in a timely manner for the issuance of payments to suppliers in a timely manner.
  • Provide a weekly report with updates to management on the status of all imports and export shipments and include ETD & ETA with clearance timelines.
  • Monitor supplier performance and maintain strong vendor relationships.
  • Review and develop current supply chain methodologies and suggest areas of improvement to enhance business performance.
  • Prepare landed costings for inventory items and submit to the Financial Controller for approval and reconciliation within a timely manner.
  • Ensure that there are no overdue invoices by liaising with our Accounts Receivable and seek manager approval, before releasing all export orders.
  • Prepare and follow up on applications and renewal for safeguard certificates, licenses, duty free concessions, custom bond, etc. prior to expiration.
  • Maintain the consistent upkeep of the VAT book (importation / deliveries), as well as prepare the customs return in a timely manner for monthly submissions to Customs.
  • Continuously review and negotiate shipping rates, broker rates, to ensure that the business always has multiple options with best pricing and efficient service.
  • Reviewing all assessment notices such as VAT and Import Duty, to ensure accuracy and accountability from our brokers.  
  • Work with the Finance Associate and Warehouse Supervisor to ensure inventory levels are replenished with on time deliveries of stock.  
  • Ability to forecast all inventory for manufacturing and sales within a timely manner to ensure stock levels are maintained for business continuity.
  • Assist with other administrative duties as required.

Qualifications:

  • 5 CXC passes including mathematics and English Language
  • Level 4 CIPS or equivalent in supply chain management.
  • Basic knowledge of ASYCUDA system and tariff codes

Experience: 

  • 3-5 years of experience in logistics, procurement, or supply chain management.
  • Proficiency in ERP systems and Microsoft Office Suite
  • Team collaboration working to support the overall team.
  • Must be able to effectively handle multiple purchases/shipments simultaneously.
  • Excellent verbal, written communication, and interpersonal skills.
  • Knowledge of shipping systems and logistical operations.
  • Basic knowledge in inventory management.
  • Detail oriented and result focus
