The University of the Commonwealth Caribbean invites applications from suitably qualified and experienced persons to fill the position of:

Library Clerical Assistant 

Job Summary:

Provide efficient, courteous, reliable and accurate service to library patrons. Assist with various clerical duties, maintaining an attractive and neat environment; and performing other duties as required. Identify library and information needs of patrons, respond to complaints and report on the resolution or non-resolution of the problem. Assure the implementation of official library policy and procedures therefore a full understanding of library is required.

Customer service/focus:

  • Provide courteous service/advice.
  • Resolution of minor customer complaints.
  • Provide feedback to customers on progress of query.
  • Contribute ideas for service improvement.

Responsibilities:

  1. Assist students, faculty, and staff with borrowing, renewing, and returning library materials.
  2. Maintain accurate records of library transactions.
  3. Respond to general inquiries and direct patrons to appropriate resources or staff.
  4. Maintain library records, update databases, and organize files.
  5. Assist with data entry, correspondence, and report preparation.
  6. Sort and distribute mail and library notices.
  7. Shelve books and materials in proper order.
  8. Assist with inventory checks and book repairs.
  9. Process new books and materials, including labeling and covering.
  10. Assist patrons in accessing online databases and digital resources.
  11. Troubleshoot basic technical issues with computers and library systems.
  12. Assist with setting up and organizing library workshops and events.
  13. Prepare promotional materials and announcements for library programs.
  14. Ensure a clean and organized library environment.
  15. Responsible for the leisure reading corner
  16. Perform other duties as assigned by the library supervisor or chief librarian.

Required Knowledge, Skills and Abilities:

  • Written communication clearly formatted, free from grammatical and spelling errors.
  • Oral communication, clear and courteous.
  • Ensure that patron requests are fully met.
  • Write/complete accurate reports/correspondence.
  • Meet deadlines. .
  • Demonstrate awareness and adherence to standard procedures.
  • Ability to make decisions within stated guidelines and to work independently in a wide variety of situations.
  • Demonstrate effective listening skills.
  • Use problem solving behaviors to deal with difficult situations with peers/patrons.
  • Demonstrate respect for others.
  • Contribute effectively and appropriately in meetings.
  • Demonstrate competency in using appropriate computer software.
  • Produce accurate outputs.
  • Assist patrons using equipment and software.

MINIMUM REQUIRED QUALIFICATION:

Graduated from a Secondary institution with four (4) GCE O’ Level or CSEC subjects at the General Proficiency Level, including English Language and a numeric subject plus a minimum of one to two (1-2) years’ relevant experience in a similar area.
