Legal Secretary – Property Department

 

Primary  Objective

Providing comprehensive secretarial and administrative support to the Firm’s Partners and Associates, ensuring that all tasks are carried out efficiently, reliably, and to a consistently high standard.

Summary of Main Duties

Wills/Estate - Take instructions from client and/or attorney; Prepare new matter form and open file; Prepare email requesting Will search and search for grant of representation; Prepare title search.

Conveyances - Take instructions from client and/or attorney; Prepare new matter form and open file; Prepare Agreement and forward to attorney (if acting for the Vendor); write letter requesting Agreement (if acting for the Purchaser.

Releases - Take instructions from Bank and/or Attorney; Forward copies of deeds to Attorney (if money outstanding); Peruse Release and amend it if necessary.

Restoration of Title Applications - Assist with the preparation of all relevant documents for making an application to restore title. Prepare notices for publication, obtain quotes for notices, and submit notices for publication. Liaise with Land Registry to determine required information on the application.

Land Title Proceedings - Assist with the preparation of all relevant documents required to title land; Liaise with client to take instructions; Liaise with Land Surveyor as required.

Opinions - Assist with the preparation of opinions.

Filing - Ensure that a copy of all correspondence is kept on file and that filing is done on a timely basis. Ensure that all files which are not currently in use are returned to the central filing cabinets at the end of each day.

Time Entry - Ensure that the attorney completes timesheets daily and that the time is keyed into the Time and Billing System (TABS) each day so that when bills are prepared by the accounts department, all time spent on the matter to date is captured.

 

Qualifications, Competencies and Attitude Required

  • Two Caribbean Advanced Proficiency Level and five Caribbean Examinations Council certificates or equivalent level qualifications, one of which must be English Language.
  • A Private Secretary’s Certificate, Para-legal Certificate or equivalent qualification.
  • Proficiency in Microsoft Excel for windows and three years practical legal secretarial experience.
  • Word-processing (with emphasis on spelling and grammatical accuracy, proper lay-out of the copy and minimum turn-around time).
  • Professionalism and strong client‑service orientation.
  • Ability to work independently and as part of a team.
  • Strong discretion and ability to maintain high levels of confidentiality.
  • Any other relevant duties assigned from time to time.
