A leading law firm is seeking to fill the position of

LEGAL SECRETARY

PRIMARY OBJECTIVE:

Provide comprehensive secretarial and administrative support to the Firm’s Attorneys, ensuring that all tasks are carried out efficiently, reliably, and to a consistently high standard.

 

SUMMARY OF MAIN DUTIES:

  • Manage end‑to‑end administrative support for mortgages, conveyancing, release, lease, and title-related matters, including file opening, document preparation, searches, requisitions, and closing coordination.
  • Liaise professionally with clients, attorneys, banks, surveyors, registries, and external agencies to gather information, track progress, and ensure timely completion of all requirements.
  • Prepare, review, and process legal documents such as agreements, conveyances, security documents, releases, leases, and closing statements.
  • Oversee accurate filing, keeping, and document management, ensuring all correspondence and materials are organized and up to date.
  • Maintain daily entry processes by ensuring attorney timesheets are completed and entered the billing system.
  • Uphold strong organizational, communication, and technical skills while managing workloads, meeting deadlines, and maintaining a professional and positive work environment.

 

QUALIFICATIONS AND SKILLS REQUIRED: 

  • Certificate/Diploma: Legal Secretary, Private Secretary, Paralegal, or an equivalent recognized legal administration designation.
  • 3–5 years’ in a similar role, ideally with exposure to real estate, conveyancing, or mortgage matters.
  • Excellent word‑processing and document‑preparation skills with strong accuracy, grammar, and attention to detail.
  • Strong organizational and time‑management abilities, capable of handling multiple files and meeting deadlines under pressure.
  • Professional communication and client‑service skills, with a courteous telephone manner and the ability to work independently and as part of a team.
  • Proficiency with legal/office software, reliable work habits, and a professional, punctual, and positive attitude.
