Job Summary

The Legal Secretary will provide general administrative support including answering telephone calls, taking messages and general administrative duties. Producing legal documents and preparing court documents are also requirements of the job.

 

Responsibilities Summary

  • Assist with legal research case planning and development.
  • Assist with preparing legal documents.
  • Review past billing on matters to assist with preparing retainer fees for clients.
  • Interview clients and witnesses as required.
  • Interact with clients as required.
  • Utilise MS Office or similar software for the productions of documents. presentations and excel spreadsheets for reporting.
  • Use approved litigation software or equivalent as required.
  • Assist the department head with various administrative tasks to support management of the department.
  • Organise workload and use initiative in the prioritization of tasks.
  • Ensuring timely completion of in accordance with the Firm’s processes and office procedures.
  • Keep abreast of upcoming appointments/matters requiring Attorneys’ attention and reminding them of same.
  • Facilitate the timely issuing of bills and reminders in respect of client work and account receivables.
  • Assist with monitoring the department’s billing and capturing of time entries.
  • Ensure the proper calendaring and triggering of Court actions and deadlines.
  • Work collaboratively with department head to monitor and track department workflow and management obligations utilizing a visual presentation interface.
  • Assist with the management and update of client reports and requests for information.
  • Ensure that a copy of all correspondence and attachments/enclosures is kept on file and digitally recorded on a timely basis.
  • Ensure that the closing and archiving of files is done on a quarterly basis

Requirements

  • The ability to work without supervision and take initiative.
  • The ability to work under time pressure without sacrificing quality in the process.
  • Positive attitude towards work (including willingness to work overtime to complete important assignments).
  • Acceptance and provision of constructive criticism for the improvement of service delivery.
  • Excellent telephone manner (including promptness of answering and helpful manner towards callers).
  • Professional appearance and demeanour (i.e. business-like attire and positive attitude towards work, clients and colleagues).
  • Reliability and dependability including satisfactory work attendance and punctuality.
  • Any other relevant duties assigned by management.
