Lawyer's Administrative Assistant (Remote)

Job Summary:

In this role, you will perform a variety of general receptionist duties and assist with administrative tasks to ensure the smooth operation of the office. This includes managing phone and email communications, scheduling appointments, providing administrative support to the lawyer, and assisting with various legal tasks as needed.

Responsibilities:

  • Answer and redirect phone calls, take messages when necessary.
  • Handle incoming and outgoing mail, manage email communications.
  • Schedule and coordinate appointments, meetings, and conference calls.
  • Provide administrative support to the lawyer, including drafting correspondence, organizing files, etc.
  • Maintain confidentiality of sensitive information.
  • Assist with various legal tasks as directed.
  • Ensure that office operations run smoothly.

Requirements:

  • Bachelor’s Degree in Business Administration or equivalent; further education in Law or a related field an asset.
  • Proven experience as an administrative assistant, receptionist, or relevant role in a law firm setting.
  • Exceptional communication skills, both verbal and written.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Proficient with MS Office Suite or similar software.
  • Ability to maintain professionalism and courtesy under pressure.
  • Familiarity with legal terminology and documentation would be beneficial.

  • Strong Organizational Skills: Proficient in managing multiple tasks simultaneously, prioritizing workload efficiently, and ensuring tasks are completed to deadlines.
  • Attention to Detail: High level of precision and accuracy in handling information, drafting correspondence, and maintaining files.
  • Technological Proficiency: Comfortable with Microsoft Office Suite and other office software, as well as remote work technologies and video conferencing tools. Familiarity with legal software or databases is a plus.
  • Legal Knowledge: Understanding of legal language and documents, and ability to assist in the preparation and organization of various legal tasks.
  • Confidentiality: Able to handle sensitive information with discretion and maintain confidentiality at all times.
  • Problem-solving Skills: Capable of identifying and resolving issues efficiently or escalating them appropriately when needed.
  • Excellent Interpersonal Skills: Able to maintain a professional demeanor when dealing with clients, other law firms, and court personnel.
  • Adaptability: Able to adapt to new situations and changes in the work environment, including transitioning from remote to in-office work.
