Job Summary
Participate in the day-to-day processes within the Group HR Unit. Assist with group-wide Group Human Resources functions, including preparing various letters for current and former team members. Contribute to special projects; as well as track, analyze, and report on units undertakings.
Location: Kingston
As Junior Admin Assistant, the incumbent will:
- Assist with the administrative activities of the unit to ensure that productivity targets are met and service standards are properly maintained.
- Provide assistance with the activities within the department on a daily basis to ensure that productivity targets are maintained.
- Perform the duties of the front desk to relief the receptionist
- Ensure mails dispatched from and received in Group HR are appropriately managed.
- Remind team members to collect items from Group HR.
- Assist with the preparation of memos.
- Help with the processes and recommend and implement improvements and initiatives with a view to improving efficiency and effectiveness.
- Assist with the inflow of requests to the Group HR Department for employment related matters.
- Assist with the preparation and collection of documents for payroll, and respond to payroll-related queries from employees.
- Support employee records management with the strictest confidentiality.
- Perform any other job-related duties assigned from time to time.
Requirements
- Minimum 2-3 years work experience in a medium size organization; 1-2 years in an HR support role preferred.
Education, Skills, Knowledge and Abilities
- Minimum Qualifications: Associate degree in Human Resources, Business Administration or related field from a recognised educational institution OR HEART Trust NSTA Level III Admin Assistant certificate, OR 5 CAPE subjects including English Language and Mathematics (or a numeric subject).
- Sound knowledge of computer software packages including spreadsheet and word processing applications.
- Fluent in the English Language (oral and written)
- Knowledge of document management
- Excellent attitude to client service and teamwork.
- Ability to communicate effectively both orally and in writing.
- Demonstrable persuasiveness, empathy and tact.
- Basic knowledge of Human Resources Operations.
- Good time management and human relations skills.
- Ability to type.
- Ability to work under pressure
