The Operations Manager is responsible for projecting and integrating the Mission and Core Values of AHF Jamaica, as well as the Management Philosophy throughout the entire country team while liaising with the Latin America and Caribbean Bureau leadership.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Complete the processes of procurement of goods and services in adherence to the manual of policies and procedures of the Global Finance Department of AHF. Search for quotes for country purchases, BID Analysis, follow-up of service contracts, followup of purchase orders, receipt of merchandise, visual inspection, among others.
  • Supervises the reports of income and outcomes of warehouse operations.
  • Keep a database of suppliers and vendors.
  • Guarantee the supports and vouchers of purchases and payments with suppliers accordingly to local taxes regulations.
  • Supervises the preparation of the Monthly Inventory Report (MIR).
  • Review the Cash Advance Request, Expenses Report, Petty Cash, of the clinics, allies and employees of AHF, for the approval of the CPM.
  • Responsible for preparing weekly ROF and following up with the country's accounting until approval, payment and receipt of transfer receipts.
  • Collect information from the different areas to prepare the Monthly Cash Call and send it in a timely manner to the Global Finance Department.
  • Maintain an updated database with the Memorandum of Understanding (MoU) of the country, and inform the CPM and the different areas when a MoU is within the last six months before its expiration.
  • Responsible for keeping updated the inventory system of AHF assets in the country. (Panda Asset)
  • Monthly updates the information in the Weekly Work Grid format, related to the monitoring of the exercise of the country's annual budget and the Monthly Variance Report
  • Support in the payroll process, collecting the timesheets of all the employees in the country, observing when there are special situations such as vacations, disabilities, unjustified absences, etc. attaching the supporting documents and sending them to the CPM for approval and to the global and local accounting for processing.
  • Keeps organized the files of each employee, based on the instructions of Human Resources.
  • Maintains a database to control vacation periods enjoyed by each employee.
  • Attend all the meetings that the CPM requires.
  • Provide logistical support in special activities.
  • Provide day to day supervision to the Office Coordinator and ancillary staff

QUALIFICATIONS AND EXPERIENCE

Interested applicants for the position of Operations Manager should possess at minimum:

  • A Master’s Degree in Business Administration, Economics, Accounting, Public Health Management or equivalent
  • A minimum of three (3) to five (5) years’ experience in a supervisory management capacity
  • Excellent knowledge in use of Microsoft Office (Word, Excel, Access) software applications
  • Relevant HIV/AIDS programme management experience is welcome

OTHER REQUIREMENTS

  • Must have a valid driver’s license.
  • Must be able to travel 50% of the time.
  • Must be able to work in a flexible schedule, including nights and weekends.
  • Bilingual English/Spanish is an asset.
