the Fleet Manager role is to oversee and manage the company’s fleet of vehicles (approx. 160 trucks and 50 forklift trucks) for warehouse and delivery operations purposes.

Major Responsibilities

  • 1. Fleet Management: Manage the company's fleet of vehicles, including trucks, vans and forklift trucks. Coordinate vehicle acquisition, maintenance, and disposal processes. Develop and implement strategies to optimize fleet performance, minimize downtime, and reduce costs.

 

  • 2. Vehicle Maintenance: Establish and oversee a preventive maintenance program to ensure that all vehicles are regularly serviced and repaired. Coordinate with maintenance staff or external service providers to schedule repairs and inspections. Monitor vehicle condition and address any issues promptly to maintain a safe and reliable fleet.

 

  • 3. Driver Management: Supervise and support a team of drivers. Ensure that drivers are properly trained, licensed, and compliant with all relevant regulations. Monitor driver performance, including adherence to schedules, safe driving practices, and efficient fuel consumption. Implement driver training programs as needed.

 

  • 4. Compliance, Safety and Security: Ensure compliance with all applicable transportation and safety regulations, including licensing, permits, and inspections. With SHE Manager and Security Manager, develop and implement safety policies and procedures to minimize accidents and injuries. Conduct regular safety audits and inspections to identify and address any potential risks.

 

  • 5. Budgeting and Cost Control: Develop and manage the fleet budget, including expenses related to vehicle acquisition, maintenance, repairs, fuel, and insurance. Identify opportunities for cost savings and implement measures to optimize fleet operations and reduce expenses.

 

  • 6. Reporting and Analysis: Maintain accurate records of vehicle and driver activities, including mileage, fuel consumption, maintenance, and repairs. Generate regular reports on fleet performance, cost analysis, and key performance indicators. Analyze data to identify trends, patterns, and areas for improvement. Put in place a fleet management system.

 

  • 7. Vendor Management: Liaise with vehicle suppliers, service providers, and other vendors. Negotiate contracts, pricing, and service level agreements. Monitor vendor performance and ensure service quality and cost-effectiveness.

 

 Specialized knowledge, skills and training Required:

  • Good understanding of business processes and systems (e.g. SAP)
  • Detailed knowledge of safety systems and processes
  • Experience in establishing framework of standards and compliance systems
  • High interpersonal effectiveness to develop and sustain robust relationships
  • Demonstrates success in team and functional leadership
  • Strong problem solving skills
  • Ability to work under pressure
  • Ability to work on own initiative and to multi-task
  • Valid driver's license and personal vehicle
  • Proficient in the use of Microsoft Office Suite of programs, particularly Excel and Power Point
  • Strong communication and presentation skills

 

Academic qualifications and experience required for the job:

  • Bachelor's degree in logistics, supply chain management, business administration, or a related field
  • Proven experience as a Fleet Manager or a similar role in a distribution or logistics company
  • Strong knowledge of fleet management principles, practices, and regulations
  • Familiarity with vehicle maintenance and repair procedures
  • Proficient in using fleet management software and systems
  • Excellent leadership and communication skills
  • Strong analytical and problem-solving abilities
  • Ability to work under pressure and meet deadlines
  • Knowledge of safety regulations and best practices in transportation
